Position: Multi Provider Scheduler
Growing audiology practice looking for independent, self motivated individual looking to advance with the company.
RESPONSIBLE TO: OWNER & OPERATIONS MANAGER
The Multi Provider Scheduler is responsible for communication between patients and doctors as well as maintaining the overall clinic schedule. Hours are from open to close.
Adult Patient Care Responsibilities-Inbound
· Data entry of patient demographics of patient and caretakers using patient management system.
· Create patient files on network and in office management system when making appointments.
· Maintain block scheduling.
· Email patient intake paperwork for current appointments & mail if they do not have an email
· Explain intake paperwork to patients, check that it is filled out entirely.
· Explain basic insurance benefits when scheduling regarding known statutorily excluded services and equipment.
· Manage communication through company email.
· Drop faxes to referral workflow folder.
· Back up to check-in as needed.
· Answer phones: Answer potential patients’ questions regarding hearing aids and what to expect during appointment.
· Schedule appointments as needed adding any notes from patient that would be beneficial to provider for appointment.
· Update monthly Vonage reports on call volume.
· Maintain communication between patients, doctors, office staff and vendors.
· End of day check to make sure next day all appointments have rooms assigned to them.
· Weekly update hearing aid opportunities tracker for call team.
Referrals
· Explain needed referrals for patient appointments for Medicare and HMO policies
· Responsible for daily completion of assigned patient referrals.
· Prioritize referrals according to level of urgency.
· Communicates with staff and/or patient with referral updates weekly or as needed.
· Follow up on referrals received via fax to schedule patient appointments
***All other duties as assigned
Team Member Responsibilities
· Ability to cross train & provide basic coverage of other positions to allow colleagues a work/life balance in the event other staff are out on PTO.

JOB SKILLS, KNOWLEDGE AND ABILITIES:
· Ability to consistently attend work on time and complete entire shift.
· Working knowledge of Microsoft office suite including but not limited to excel, word, outlook.
· Ability to communicate effectively through email and the phone.
PHYSICAL DEMANDS AND WORK ENVIRONMENT
· Frequently requires sitting, using hands, reaching and twisting.
· Occasional lifting of up to 20 pounds.
· Standing and walking throughout the day.
· The work environment has moderate noise from patients, phones and other business office machines.
· Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.

Pay: $18.00 - $20.00 per hour
Expected hours: No less than 40 per week
