Preferred Qualifications Position Summary
This position is responsible for administrative assignments to assist a facilities oriented organization in managing a diverse variety of work efforts. Work generally consists of developing the project scope and budget by coordinating with the customer and Facilities Management Departments. A vital function of the position is to establish and maintain effective working relationships with a wide variety of institutional and professional personnel. This is administrative work that involves: receiving and recording customer maintenance work request, preparing work orders and relaying work requirements to appropriate technicians or maintenance shops, ensuring vendor invoices are received and entered into internal financial accounting system of Business Office review.
Knowledge, Skills, Abilities and/or Competencies
* Working knowledge of facilities building maintenance needs and operations, service requirements, and university properties and associated equipment.
* Intermediate level of computer skills to operate various technical computer systems and understanding of basic professional office systems.
* Ability to establish, obtain proper information, and maintain effective working relationships with faculty, staff, and other facilities personnel through verbal, written, and personal contact.
* Thorough knowledge of facilities management principles and practices.
* Considerable knowledge of radio dispatching methods, techniques, and practices and telephone systems as per departmental policies and procedures.
* Ability to obtain the proper information through telephone and personal interview.
* Considerable knowledge of office practices, procedures, and equipment.
* Some knowledge of the practices, methods, materials, and equipment of the building trades.
* Ability to analyze situations promptly and to determine proper course of action.
* Ability to deal courteously with University personnel, maintenance crews, and the general public and establish and maintain effective working relationships with division and university personnel.
* Thorough knowledge of the principles, techniques and practices of building repair, alteration, and construction methodologies.
* Understanding and knowledge of the basic building systems, principles, techniques, and practices of the various trade crafts.
* Ability to follow oral and written instructions and to interpret customer needs.
* Ability to communicate clearly and concisely, orally and in writing.

• Provide front line support to customers by developing scope of work and budget for facility repair and planned projects via personal contact with customers, staff personnel, vendors, and/ or department heads.
• Respond to inquiries from within department, from the campus community, and/or external constituency; direct matters to appropriate individuals for action and follow up as needed.
• Record work orders, vendor and customer information, invoice, scope of work, data, and project change order requests in departmental facility work order and financial systems.
