GENERAL DESCRIPTION:
This position will act as the main point of contact for both leisure and conference visitors to Athens by supporting the daily function of the destination services manager, assisting the marketing and communications team, serving as an outreach person to the hotels and other businesses, as well as responding to visitor inquiries. This position will report to the Director of Sales.
ESSENTIAL DUTIES AND RESPONSIBILITIES
• Act as the main point of contact for both leisure and conference visitors to Athens. Serves as support for visitor services offerings including, but not limited to housing bureau support, reservation assistance, Visit Athens event calendar management, distribution of printed promotional and advertising materials, management of promotional item inventory, and maintaining a well-informed, working knowledge of the city of Athens attractions and services available to visitors.
• Act on behalf of Visit Athens by serving as the community outreach representative for the organization. This position will be expected to maintain communication with local businesses and hotels to better serve the needs of the business community. Work/partner with these local organizations to promote Athens and assist Communications Manager in keeping CRM Accounts & Listings up to date so that website stays current.
• Proactively seeks out updates for hospitality businesses & attractions of interest to a visitor and promotes these on www.VisitAthensGA.com.
• Proactively seeks out events information well in advance; maintains the Athens events calendar at www.VisitAthensGA.com using web-based Customer Relationship Management (CRM) program.
• Helps proof monthly events calendar e-newsletter.
• Will function as primary customer support contact for all attendees looking to book rooms for housing bureau groups and assist the Destination Services Manager as needed through the housing bureau process.
• Responsible for the communication of event schedules to the local business community, including overseeing the high-volume alert email. The Visitor Services Coordinator will work with The Classic Center team to input event timeline data prior to automated high volume alert email delivery to local business partners.
• Assist sales team with preparation for industry trade shows by managing promotional items and collateral.
• Organize gifts for visiting media and sales clients; maintains inventory and delivery of gifts.
• Oversee and build welcome gift bags requested by visitors to Athens and conference clients.
• Ensures that visitor information publications are well-stocked in on-site brochure racks.
• Manage bulk brochure and map requests from hotels, other local partners, statewide visitor centers, and meeting sales clients. Maintain accurate inventory counts by recording distribution in CRM
