Job Description
Position Summary
The Administrative Assistant is a support professional who handles general office tasks and administrative duties, such as directing communications between colleagues and customers, organizing schedules and events, entering data, bookkeeping, maintaining office equipment and so on.  This role supports managers and employees through a variety of tasks related to organization and communication. An effective Administrative Assistant enables teams to be focused on their goals. It is a vital role, especially for teams and individuals that have multiple projects occurring simultaneously.
Education & Experience
• High school diploma
• Prefer 2 years of experience in front desk reception/administrative assistance role or customer service role.
Skills
• Exhibits polite and professional communication via phone, email, and mail.
• Ability to work effectively and cooperatively with all levels of management, staff, service partners, donors, and general community.
• Organizational and follow up skills, including time management, attention to detail, and filing.
• Competence in Microsoft products including Outlook, Word, Excel, and PowerPoint.
• Experience working with databases.
• Types proficient with a goal of 50 words per minute.
• Ability to make decisions, engage in critical thought and solve problems.
Job Duties
• Manage the front desk and reception area – primary contact/greeter for all visitors to the organization.
• Answer and direct phone calls, voicemails, and organizational emails.
• Carry out a broad variety of administrative tasks such as mail distribution, filing, typing, copying, binding, scanning etc.
• Manage all travel for organizational business (i.e., employees, board of directors, scholarship recipients).
• Assist with organizational scheduling including (i.e., team meetings/events, board/committee meetings, etc.,)
• Assist with special events or projects (i.e., fundraisers, awareness projects).
• Assist with basic bookkeeping.
• Produce and distribute correspondence memos, letters, faxes, and forms.
• Maintain and operate all office equipment including copier, printers, postage meter, etc.
• Organize, check, and maintain general office supplies (paper, pens, ink/toner, etc.,) to ensure teams have everything they need to succeed.
• Ensure the office remains clean and organized including reception, general storage, conference rooms, group areas, and break room.
• Assist Senior Management team with time management by screening requests, calendaring appointments, etc.
• Perform other duties as needed and assigned.
