Facilities and Operations Coordinator
Basic Function
This position coordinates the administrative functions and assists with the business operations for the Charlottesville (CVA) location. Provides coordination and oversight and/or possesses direct accountability for the administrative support activities of the facility to provide quality and safety, communications, client support, and facility coordination to support the efficient operation of this MRIGlobal office.
Nature and Scope
This position reports to the Director of Facilities - Occupancy and receives direction from the Program Management and Technical Leadership in Charlottesville on day-to-day direction. This position serves as point of contact and/or liaison to Corporate Headquarters. Performs general administration, receives clients, schedules meetings, conference arrangements, and coordinates facility maintenance. Interacts and works closely with staff across organizational lines.
Essential Functions
Financial accountabilities:
• Coordinates facility usage for office space, conference rooms and/or enhancements and selective facility maintenance needs (e.g., carpeting replacement schedule, appropriate lighting, etc.)
• Identifies office, communication equipment and furniture need, selects products and negotiates the most economical price for goods or services to be procured. Interfaces with selected outside vendor services for non-routine services and products to ensure division staff and client needs are met. Maintains and tracks planned/budgeted expense versus actuals to meet targeted goals.
Client accountabilities:
• Provide necessary support to laboratory and administrative personnel to meet client requests, including coordination of staff support as required.
• Coordinates client on-site meetings and supervises client support activities.
Internal Process accountabilities:
• Primary on-site support of personnel for CVA. Directly supports the technical staff to assist in accomplishing program goals and objectives. Provides advice on policies and procedures.
• Serves as the liaison for various human resources activities (as needed) to include support for and coordination of: staffing needs, advertising, interviewing, extending employment offers, pre-employment screenings/physicals, employee benefits communication, orientation and follow-up, employee relations, and coordination of training.
• Coordinates all support activities in CVA. Assist managers to enhance morale, promote team interaction, motivate, and retain qualified personnel.
• Interfaces with IT, Facilities, Security, Safety and Quality Managers to understand local operating requirements and translate those to actions at the Charlottesville facility. Provides safety briefings to new staff in CVA. Executes routine safety checks (e.g., fire extinguishers.), Supports quality and QA support as needed. Coordinates with IT on technology needs for new CVA staff. Coordinates with Facilities to ensure facility is functioning and supported. Schedules vendors and interfaces with building landlord as needed. Coordinates staff communication to ensure information is delivered in a timely fashion.
• Interfaces with Accounting, Purchasing, Shipping & Receiving, and Property. Fulfills shipping and receiving role for CVA. Interfaces with Purchasing and Accounting for purchase requisition and accounts payable functions. Supports the tracking, inventory, and calibration / maintenance of property and equipment as needed.
• Assists with special projects as required e.g., supports event planning, meeting services and breakroom services as needed in CVA and coordination of various business events.
• May serves as a member of other MRIGlobal committees to promote and coordinate various activities in support of corporate initiatives.

• Ability to plan, assess priorities, and meet objectives.
• Strong problem-solving aptitude.
• Ability to work independently, disseminate information, and maintain confidentiality.
Minimum Qualifications
• High School Diploma or general education degree (GED) or equivalent.
• A minimum of six years related administrative experience in a general business, or not-for-profit, contract research environment or equivalent combination of education and experience in an office environment.
Preferred Qualifications
• Bachelor's degree in business administration, or other related discipline.
• A minimum of three years' experience in a general business, or not-for-profit, contract research environment or equivalent combination of education and experience in an office environment.
