Our corporate headquarters in Roanoke, VA is seeking a Project Accountant to join our team.
This position is responsible (as part of a two-person team) for the project billing process and accounts payables, including responding to client/vendor inquiries and verifying employee's chargeable time, in accordance with the established accounting standards and billing policy. Responsibilities are inclusive of, but not limited to, the following:
• Effectively communicate with Project Managers (PM) and Principals-in-Charge (PIC), regarding contract documents, change orders and other contract modifications, approvals, and any additional services-related to billing.
• Prepare final invoice package containing draft and final invoices for all billable projects, including all applicable backup.
• Send final invoices.
• Assess and pursue opportunities for maximization of client billing, in conjunction with the Project Managers.
• Research any unbilled issues to optimize the billing possibilities for the billing period.
• Maintain the billing documentation for projects, including expenses, consultant invoices, and monthly invoices, in accordance with standard procedures.
• Assist with accounts payables, relative to consultant invoicing and reimbursable expenses.
• Assist with the cash receipts to reconcile variances that occur in the application of cash.
• Generate and distribute reports to and for the PMs/PICs.
• Set up new projects, make transfers of employee billable hours and/or expenses, and open and close time classes in accounting system.
• Write off any uncollectible receivables, labor or expenses, as directed by the PIC.
• Recommend and implement agreed process improvements to the billing cycle.
• Prepare special project analyses for the PICs, PMs and others.
• Prepare local property and business tax returns.
• Provide year-end support, which may include research and reconcilement.
• Perform additional assignments, as needed, by Managing Principal.
• Communicate and coordinate with all offices.
• Take ownership of special projects as they arise.
• Bachelor's Degree or equivalent education/experience in accounting or business preferred.
• More than 5 years of billing and receivables in a project-based business.
• Excellent interpersonal and customer service skills.
• Knowledge of the project structure in a client/consultant business environment.
• A thorough knowledge of standard contract terms, including hourly, lump sum, direct expenses, reimbursables, not-to-exceed and how they are applied in the billing process.
• Ability to work well with others under deadline situations and respond to changes in priorities.
• Strong time management and ability to meet/exceed deadlines.
• Good written and verbal communication skills; and strong organizational skills.
• Ability to work independently, take initiative, set priorities and see projects through to completion.
• Employ problem-solving skills and analysis, and report problems to the Managing Principal.
• Knowledge of Deltek Vantagepoint Software or another accounting platform is a plus.
