Full Job Description Cathcart Property Management, AMO, and an award winning company, is looking for an Assistant Property Manager to join our team, a luxury apartment community, Lakeside Apartments.
JOB SUMMARY:
The Assistant Property Manager is to assist the Property Manager in effectively managing the assigned property. In the Property Manager's absence, the Assistant Property Manager will assume all responsibilities associated with accomplishing property objectives as set forth by the Property Manager, Senior Property Manager, Cathcart Management, LLC and the property owner. In addition, the Assistant Property Manager is directly responsible for maintaining daily, weekly, and monthly reports including accurate reporting of rents and deposits received.
DUTIES AND RESPONSIBILITIES:
Conducts all business in accordance with company policies and procedures, Fair Housing, Americans with Disabilities Act, Fair Credit Reporting Act, and all other laws pertaining to apartments.
• Maintains accurate resident records. Updates on a daily basis all rents, deposits and application fees received from residents, marks each accordingly by building number; apartment number at top of each check. Issue appropriate notices when necessary (e.g., late payments, eviction notices, returned check memos, bill balances).
• Deposits all receipts prior to bank close each day or prepares for property manager to take.
Resident Relations:
• Maintains positive customer relations attitude.
• Assist with assessing any damages in the clubhouse and report to property manager for video surveillance review.
• Physically inspects property when on grounds, picks up litter and reports any service needs to maintenance staff. Will also inspect move-outs and vacancies when requested.
• Inspects models and market ready available apartments as needed to ensure tour ready.
• Sparkles apartments rented prior to move-in and complete the apartment move-in checklist prior to the new resident arriving for move-in.
• Coordinates with the property manager the move-in schedules for lock changes etc. to prepare with the maintenance team.
Marketing:
• Must be knowledgeable of all phases of leasing and resident retention.
• Promotes and manages upcoming lease renewals each month.
• Greets prospective clients, shows community and performs leasing duties as needed.
• Answers and handles incoming phone calls from prospective new residents, current residents, vendor/suppliers, etc.
• Maintains awareness of local market conditions and trends. Contributes ideas to manager for marketing community, improving resident satisfaction and community outreach.
• Maintains a priority wait list for future and current applicants.
• Maintains current internet advertisement.
Administrative:
• Updates required reports concerning move-out notices, renewals, leasing activity, etc., on a daily basis and provides information to the Property Manager.
• Organizes and files all applicable reports, leases and paperwork.
• Proofreads all lease paperwork and processes move-ins and move-outs.
• Processes all security deposits upon move-out to Property Manager for final approval to Finance Department.
• Accepts service requests from residents and routes to maintenance for prompt processing. Conducts service follow-up with resident when work is completed.
• Checks messages on voicemail at arrival and complete return calls or service requests. Continues to check throughout the day after out on tours.
• Prepares all paperwork for new applicant, processes the application for the Property Manager's approval or denial in its entirety including lease documents, addendums, releases and community policies.
General:
• Performs any additional duties assigned by manager or property supervisor. Which includes assistance in the budgeting process in helping receive vendor bids for upcoming year researching costs and helping gather needed information to complete the budget process.

QUALIFICATIONS:
Position requires at least 3 years experience in property management and marketing. Must have basic computer knowledge and type 30 wpm.
Computer Skills : Microsoft Office (Word, Excel & Outlook), On-Site Property Management Software such as Yardi.
Office Equipment : Calculator, Copy Machine, Fax Machine, Telephone, Key Machine, Key Fob Computer, Video Equipment, Movie Theater Projector and Internet Reset .
Work Hours :Minimum 40 hours per week with weekend rotation.
