The University of Virginia Department of Engineering Systems and Environment seeks an Intermediate Administrative Coordinator.  These roles will support the Civil and Environment Engineering program and the Systems and Information Engineering Program.  The mission of the Civil and Environmental Engineering Program centers on responsible stewardship of engineering practices for the built and natural environment that represents the backbone of modern society. Fundamental to this purpose is a sustainable and agile infrastructure, which places the environment at the center of engineering design for the future and is supported by practical engineering solutions to meet today’s challenges. This focus modernizes the disciplines of civil and environmental engineering by integrating sustainability and resilience into core practices while leveraging modern computational methods that integrate sensing, simulation, artificial intelligence, and cyber-human collaboration into strategies for new and existing built and naturally engineered systems.The mission of the Systems and Information Engineering Program is anchored by the core dimensions of human technology integration, systems analytical modeling, information, and intelligent automation, which collectively inform the practice of systems engineering necessary to meet today’s grand challenges and to prepare for future demands. Faculty in the department will pursue educational and research directions in modeling and simulation, optimization and decision analysis, automation and control, data analytics and machine learning, systems thinking, operations research, and human factors essential in numerous settings including healthcare, defense, cybersecurity, aerospace, transportation, policy, education, manufacturing, and logistics. The mission of Systems and Information Engineering centers on educating the problem-solving leaders of tomorrow while conducting research that supports the foundation of the systems engineering discipline.The Intermediate Admin Coordinator performs both technical and complex administrative projects as well as general clerical work in support of the day-to-day operations of the Department of Engineering Systems and Environment. Applies independent judgment in the completion of assignments which include handling promotion and tenure, reappointments, obtaining Visas for visiting scholars, and coordinating faculty searches. May act as a lead to lower-level administrative staff assigned to the department.The Intermediate Admin Coordinator performs advanced, diversified, and confidential administrative duties requiring comprehensive experience, competencies, and knowledge of organizational policies and practices. The incumbent must exercise discretion in handling confidential, sensitive, and timely information.  Responsibilities include preparing meeting agendas and other correspondence, coordinating a busy and shifting office calendar, anticipating and preparing for leadership activity and meetings, taking initiative for tracking, compiling, and preparing meeting agendas, and attending meetings for purpose of recording, preparing, and distributing minutes and reports, and completing a variety of non-routine assignments.  This role will serve as the records manager for the department.Responsibilities:Administrative Assistant to the Director of OperationsFront desk supportAdministrative SupportScheduling meetingsPromotion and tenure supportFacilities managementFaculty searchesRetrieving mailAnswering phonesPay department billsCreate purchase ordersIn addition to the above job responsibilities, other duties may be assigned.Required QualificationsHigh School Diploma, with at least one year of administrative assistant experience. Preference will be given to candidates with an associate degree.Must have experience working with Microsoft Office.Must have excellent verbal and written communication skills.Must be detailed-oriented with strong organizational skills and have the ability to manage multiple tasks in a busy environment.Must have experience with managing calendars and coordinating appointmentsThis position is hiring for two roles, one will support the Civil and Environmental Engineering Program and the other the Systems and Information Engineering Program.This position will remain open until filled.  This is a Non-Exempt level, benefited position.  The University will perform background checks on all new hires prior to employment.
