The organization provides a broad scope of products and services through the ownership, development, and operation of cemeteries and funeral homes in multiple states. Customers are able to plan and pre-purchase their burial plot, casket or urn, vault, mausoleum space, and other details connected to a burial.

The Impact You Will Make
This includes record keeping filing, tracking, ordering, computer processing, and communicating with the corporate office. Excellent computer skills are REQUIRED.

Contract processing and quality control, including verification that all contracts are valid before entry. Includes both Carlib and HMIS Systems.

Banking duties- cash receipt entry (Dips & Carlib), deposit slips, credit card transactions and bank deposits. May include trips to the bank for actual cash deposits.

Cemetery daily processing of IOAs (Interment Order and Authorization), following the company standards and policies.

File maintenance- update customer files and permanent records including all new sales and burials. This includes but is not limited to scanning all documentations as required.

Human Resources- Coordinate onboarding responsibilities as needed.

Timely communication with all departments including Home Office.

Accounts payable- Insure all bills are paid promptly as required by the Procurement Policy. Process all purchases and invoices through the current COUPA system.

Deeds and Certificates Provide deeds and certificates to Sales Management each week for delivery. Log and process according to your location and or state guidelines. Funeral Home excluded unless a combo location

Memorial Orders Order Memorials when PIF (Paid in Full). All Memorial orders must have a signed final proof. All orders must be placed only through current processes and systems.

Trust Certificates Check for accuracy, compare to contracts, sign and place in custom file return (email) to the Home Office Trust Department.

White Board Meetings ( Attendance is required) Take part in daily meetings between Administration, Maintenance, and Sales Department. Update as required in FIIX

Manage Work Orders and any First Call Burials etc.. for Park Services in the FIIX Program.

Track Perpetual Decoration Agreements and give to Park Services to set flowers when necessary.

Maintain Records of all memos, e-mails, corporate policies, and programs implemented.

Billing process an invoice for any outside vendors for charges that may be incurred at the location.

Imaging: Make sure all paperwork associated with the customer is scanned in the appropriate imaging system.

Adherence and enforcement of company and location policy and procedures.

Other duties as assigned by the direct supervisor.

Reports as required for this position, may include Trusting, State required, and month end processing.
Qualifications
Education and/or Experience:

High School equivalency required.

Minimum of one year experience in administration or customer service.

Multi-Line phone skills required.

Filing skills (Alphabetically)

Ability to type 40 words per minute with minimal errors

Data entry skills

Basic mathematical skills

Basic computer skills including word processing (Word) and spreadsheet (Excel) applications or Google equivalents

Must abide by all company policies and keep all employee and customer information confidential.

Excellent customer service skills

Proficient organizational skills

Optimal interpersonal skills

Ability to multitask efficiently

Ability to be self motivated

Able to work well independently or as part of a team.

Ability to effectively and quickly complete tasks and assignments and meet deadlines.
