Job Description

Essential Duties:
Greet visitors
Answer, forward and return any incoming phone calls, and respond to emails in a timely manner
Maintain visitor’s sign in/out sheet
Open and close facility each day
Submit invoices, check requests, and other billing related items
Process new hire paperwork, oversee onboarding, and prepare workspace for new employees
Distribute keys to the office and keep an office key log to be forwarded to HR
Upload documents into electronic system
Assist with data entry for referrals
Complete monthly office checklists and communicate with manager regarding building and maintenance issues
Complete monthly safety drills and complete report as required
Update policy and procedures manuals
Order and stock office and restroom supplies
Keep shared areas organized, tidy and de-cluttered
Maintain office calendars for visitation schedules and other office activities
Process incoming and outgoing mail
Plan and manage special events
Run office errands as needed
Assist in project completion for departments as needed
Adheres to safety and security regulations and reports to admin as required
Communicate with other HCA/First Home Care staff members regarding clients as necessary
Knowledge, Skills and Abilities Required:
High school diploma
Capability to manage multiple priorities and utilize initiative to anticipate workload and needs for each department
Effective communication skills, i.e., ability to listen and ask pertinent questions to gain needed information
Ability to answer telephone calls or questions politely and efficiently
Knowledge of good English grammar and usage
