Full Job Description Position Summary:
The primary responsibility of this position is providing administrative support to the Director of Facilities and members of Facilities, specifically related to coordinating and tracking purchases through purchase orders, contracts and purchasing card.

Responsibilities:
Procurement Coordination and Support
• Understand and use appropriate methodology/technology for purchasing including familiarity with systems such as OneSource and UGAmart.
• Involves using online and in-house systems to receive and collate purchase requests from Maintenance and Services supervisors – ensuring requests are correctly assembled and documented, and consolidating and forwarding requests to the appropriate purchasing specialist.
• Coordinate with purchasing specialist in Housing Business and Human Resources office on all purchasing requisitions, payment requests, and other purchasing needs.
• Assist with administrative requirements regarding university contract and bidding procedures including the preparation of Professional Services Contracts.
• Serve as a departmental procurement card holder (p-card).
• Follow-up on outstanding purchase orders.
Office Management
• Provide Director of Facilities and facilities management staff with administrative support including arranging appointments, arranging travel; facilitation of communication including answering telephones, managing/updating facilities listservs, and other actions that promote the efficiency of the Facilities unit.
• Maintain updated and accurate files associated with ongoing and past purchasing related transactions.
• Understanding the common contents of these files (notice to proceed, purchase orders, receiving reports, etc.) and overseeing their accuracy.
• When needed, assists the Work Control office supervisor with processing work orders in AiM and conducting facilities maintenance communications with residents, housing staff and contracted service providers.
Other Duties as Assigned
• If needed will assist the Housing Business and Human Resources office.
• Serve on Departmental and University committees, task forces. Also, seeks out and participates in other professional development activities.
• Perform duties as consistent with the purpose of this position as assigned.
Qualifications:
• Requires are least a high school diploma or equivalent. Experience with vendor interaction, contract development and oversight is preferred.
