Full Job Description The District Attorney’s Office in the Western Judicial Circuit has an opening for a Front Office Administrative Assistant. The following duties are normal for this position; other duties may be required and assigned:
• Responds to all incoming calls, requests for information, and inquiries to the District Attorney’s Office, including all in-person guests, and serves as liaison between the District Attorney’s Office and the general public.
• Performs administrative-related support tasks as needed by the District Attorney’s Office, including: Check the fax daily and distribute accordingly; Compile, organize, prepare, and maintain an assortment of records, reports, and information in an effective manner and according to departmental and/or governmental regulations.
• Skill in the operation of various office equipment including computers and copiers; Utilize computer applications and techniques as necessary in the completion of daily assignments; Prioritize and calendar daily assignments and due dates, including maintaining Conference Room Reservation Calendar; Mail, mail distribution, and Certified mail.
• Communicate effectively with supervisors, co-workers, interns, and customers.
• Keep conflict and LOA letters on the common drive.
• Preparation of case folders (both physical files and in computer database), verifying accuracy.
• Complete opening and closing of Asset Forfeiture files.
• Warrants: receipt; coordination of transmission between departments, and logging of transmission in database.
• Preliminary Hearings – create and distribute calendar.
• Dismissals – receive, copy, match to warrants, update CCH, distribute, and place in database and common drive.
• Grand Jury Pool (completed quarterly) – receive list, obtain criminal histories via GCIC, follow up on FBI numbers, obtain dispositions on felony charges, and give to Grand Jury Coordinator.
• Grand Jury List- name- tags, grand jury list distribution, collect all indictments, update CCH indictments, and scan to database.
• Assemble Employee Handbooks.
• Accusations – collect pending accusations, create list for Clerk’s office, collect original warrants when available, file accusations. Update case with new case numbers, update CCH, amending charges if needed, scan into database, and distribute.
• Direct indictments and Extradition forms – add charges, distribute, update to database, update CCH.
• Receive Pre-Trial Diversion payments – distribute receipts and payments and update database.
• Primary contact in maintaining off-site storage; adding shell cases in database, inventory boxes going to off-site storage; maintain off-site storage logs; update database with tracking information.
• Special Office Projects.
• Back-up to Office Manager/Executive Assistant to DA.
Minimum qualifications : High school diploma or equivalent with three years of secretarial, legal secretarial, governmental administrative, computer applications and training, or related experience required; or knowledge, skills, and abilities for this position. Must possess or have the ability to acquire Notary Public status. Ability to speak fluent Spanish is preferred.
