Description
The Kentucky Department of Juvenile Justice is a multi-faceted agency that serves juveniles of the Commonwealth. This is a highly responsible position in the Justice and Public Safety Cabinet. The employee is expected to perform all duties to the best of their ability, act in a responsible manner at all times, demonstrate leadership qualities, and treat all staff, youth, and persons with respect. This is a demanding position that requires maturity, reliability, and self-discipline. Career growth and advancement are encouraged through training and mentoring opportunities.
Responsibilities include, but are not limited to, the following:
• Provides professional administrative support in the review, evaluation, development and implementation of the agency's activities.
• Compiles & researches information as needed for reports/communications to include district monthly reports, car logs, sick leave, workman's comp, FMLA, electronic monitoring usage, and OSHA reports. Drafts correspondence such as monthly reports to supervisor, staff meeting itineraries/minutes and staff itineraries. Maintains district files and initiates various actions for supervisor's review and direction.
• Prepares personnel documents and maintains employee personnel files. Provides forms to new staff, obtains appropriate signatures and submits appropriately. Advises on and reviews documents. Follows up on actions and communicates with appropriate personnel. Maintains in-depth knowledge of personnel and payroll rules, regulations and policies and disseminates information and materials as needed.
• Maintains an in-depth working knowledge of departmental rules, regulations and policies. Researches a variety of situations in order to provide technical assistance and advice when necessary. Receives general directives and adheres to rules concerning distribution and maintenance of same.
• Receives, reviews and records employee time. Enters hours into the payroll system for two pay periods per month. Communicates with staff about any information pertinent to payroll and timekeeping activities. Serves as back-up timekeeper. Maintains employee personnel files.
• Ensures that all applicable information is managed and distributed to appropriate staff in a timely manner. Submits monthly Sick Leave Report. Enters staff training hours. Reviews and submits employee travel vouchers. Regularly updates Community Services Directory and inventory listings, e.g., pager and cell phones.
• Assists supervisor in providing, reviewing and processing documents necessary for the employee performance evaluation system during the required timeframes. Completes and submits appropriate documents concerning Family Medical Leave (FML) and workers comp.
Minimum Requirements
EDUCATION: Graduate of a college or university with a bachelor's degree.
EXPERIENCE, TRAINING, OR SKILLS: One year of professional, administrative, or business experience.
Substitute EDUCATION for EXPERIENCE: Additional education will substitute for the required experience on a year-for-year basis.
Substitute EXPERIENCE for EDUCATION: Additional administrative, business, research, and/or clerical experience will substitute for the required education on a year-for-year basis.

Incumbents working in this job title primarily perform duties in an office setting.
Probationary Period
This job has an initial and promotional probationary period of 6 months, except as provided in KRS 18A.111.
