ORGANIZATIONAL SUMMARY:
Child & Family Studies (CFS) is one of seven departments and schools within the College of Behavioral & Community Sciences (CBCS) at the University of South Florida (USF). Organized into three research divisions and four academic programs that work synergistically, CFS currently has approximately 275 faculty and staff members. During FY21, CFS is managing a portfolio of over 50 federal and non-federal contracts and grants totaling $55.7 million. Our research divisions include the Florida Center for Inclusive Communities (FCIC), Child and Family Behavioral Health (CFBH), and the Rightpath Research and Innovation Center. CFS's four academic programs are Applied Behavior Analysis (ABA), Child and Adolescent Behavioral Health (CABH), Rehabilitation and Mental Health Counseling (RMHC), and Marriage and Family Therapy (MFT). POSITION SUMMARY:
The Human Services Program Specialist (specific to Internal Operations) serves as administrative assistant to the CARD Executive Director, Director, Associate Directors, and Communications and Marketing Specialist. Responsible for billing, purchasing/billing, travel, mailing, and other daily operations and clerical duties.
RESPONSIBILITIES:
Responsible for all travel-related functions, including: Processes Travel Authorizations, Expense Reports, and books all travel (hotel, car, flights) for staff/board members/Interns and guests; point person for setting up non-employee travel profiles and travel profiles for new hires; point person for setting up contract direct billing for car rentals; stays informed of all travel rules/regulations and end of year closures.
Responsible for purchasing-related functions, including: Creates p-card forms for all transactions and gets appropriate signatures; works closely with Purchaser to maintain records and comply with by division/pcard rules; orders office supplies, printing orders with ProCopy, and assists with other needed purchases. Assists with program billing (e.g., The Learning Academy, Verizon), assists Directors in tracking purchases in keeping with the annual budget.
Responsible for day-to-day operations, including: coordinates deliveries of supplies and other purchases, submits work orders for office/building issues, mail distribution and forms required for US postal service, maintains internal staff phone and information lists, coordinates supplies and deliveries to satellite employees, general organization of CARD suite, takes meeting minutes at staff meetings
Assists with event/fundraiser planning and community events as needed, serves as administrative assistant to the CARD Executive Director, Director, Associate Directors, and Communications and Marketing Specialist.
Performs other duties as assigned.
POSITION QUALIFICATIONS:
MINIMUM: This position requires a high school diploma and four years of related experience. Appropriate college coursework may substitute at an equivalent rate for the required experience.
PREFERRED: Experience working in FileMaker Pro database; Microsoft Word; Exchange; experienced in communicating with the public, bilingual.
SPECIAL SKILLS/TRAINING: Experience with Office Suite products
