Job Description
Global Financial Firm located in Tampa, FL has an immediate contract opportunity for an experienced Executive Assistant
"This role is currently on a Hybrid Schedule.
You will need to have reliable internet, computer and android or iphone for remote access into the client systems during remote work.
We will be expected in the office weekly 1-3 days depending on the team requirement.

EXECUTIVE ASSISTANT
Job Purpose:
To provide professional and administrative services to Client Global Sourcing.
Key Responsibilities:
• Providing logistical support for hybrid working, shared desk space, working space requirements and booking conference rooms
• Preparation and formatting of word documents, spreadsheets, presentations, Biographies.
• Assisting in ad-hoc reports special projects as needed (i.e. create welcome packet for new hires, update New Hire Checklist, complete new hire onboarding tips & tricks)
• Full assistance with onboarding new hires onsite and remotely
• Assisting with IT issues including logging tickets, setting up drives, processing Marketplace requests.
• Proactive diary maintenance (C15 & C14)
• Arranging meetings and Zoom calls (C15 & C14)
• Arranging for security passes, computer access and desk space for visitors to the Main Campus Office at 3800 Banking Center Drive in Tampa
• Booking Travel and Processing Expenses (C15 & C14)
• Carrying out routine administrative tasks such as filing, printing, photocopying, and collating of information.
• Ordering supplies and processing invoices through Procure to Pay system
• Processing and follow-up on Virtual Requests

Knowledge/Experience:
• Substantial experience of operating in a similar team role in a professional services environment
• Proven experience of working effectively in a challenging environment, adapting to changing circumstances, and responding to varying needs and priorities
Qualifications:
• Technologically savvy
• Relevant experience at senior level within a corporate environment
• Previous office administration experience preferably within a large and complex financial services or similar organization
• Highly proficient in Microsoft Office
• Consistently demonstrates clear and concise written and verbal communication skills
• Demonstrated ability to quickly gain command of new systems
• Self-motivated and detail oriented
Skills:
• Advanced knowledge of IT software packages including Word, Excel, PowerPoint, & Microsoft Outlook required.
• Ability to build excellent working relationships
• Strong interpersonal and organizational skills
• Attention to detail
• Ability to multi-task effectively and efficiently
