This Opportunity
WSP USA is seeking a talented and motivated individual to join our Information Governance team as our Integrated Records Manager. This position may be located in any WSP office in the US. The WSP Information Governance team sits under the Office of the General Counsel and is responsible for modernizing and ensuring compliance with policies and processes for the efficient, compliant, and legally defensible management of information including WSP USA systems, other electronic data repositories, and paper records. Our WSP USA Information Governance and Data Strategy Program is focused on risk mitigation, cost containment, data privacy, information security, and increased operational efficiency.
Your Impact
Position Description: This role is an important position on the Information Governance team and will report to the Deputy General Counsel- Privacy | Security | Data Strategy, with the expectation that the candidate will assume a project management role within one year. The candidate should have experience working in groups and have a desire to participate in collaborative, multi-disciplinary environment as the Information Governance team works closely with the legal, information technology, information security and business groups. The candidate should have initiative and a strong desire for learning and sharing knowledge. The successful candidate will work on Information Governance tasks and projects and be charged with:
• Responsible for the management of active, inactive, and vital records, and records retention.
• Managing, controlling, and directing active records systems and centers, records organization and evaluation, inactive records systems, centers and maintenance, correspondence control, reports and directives control, and records retention.
• Ensuring application of retention schedules to inactive records.
• Justifying and recommending purchase, disposition, or acquisition of equipment and supplies within area of assigned responsibility.
• Supervising operations of records centers and electronic records management programs.
• Implementing vital records policy.
• Serving as coordination point for recovery efforts during a disaster situation.
• Assisting in the identification and designation of vital records.
• Evaluating proper methods of protection for vital records and makes recommendations on media, rotation, dispersal, and related procedures.
• Coordinating implementation of disaster prevention and recovery plans.
• Providing guidance and oversight of quality assurance and compliance issues.
• Supporting and refining Information Governance training, change management and awareness programs as well as evaluation programs.
• Providing expertise and input into other functional areas that affect the recorded information of the organization (e.g., reprographics, electronic information). Assuring that these functions fully support and implement the organizations records and information management policies.
• Auditing and deploying file analysis for organizational compliance on a regular basis.
• Overseeing the organizations film- or computer-based imaging operations.
• Managing, controlling, and directing production, quality assurance, and records of projects conducted by any records management staff.
• Responsible for day to day management of the WSP USAs electronic records and information management.
• Managing and administering electronic records management systems.
• Assist in developing migration strategies to ensure the integrity of records and related metadata over the required lifetime of the records as information systems are upgraded or replaced.
• Providing guidance and direction in centralized and decentralized file management operations to improve access and control.
• This role will be charged with maintaining the integrated records management at WSP USA and will support the implementation and refinement of WSP USAs Information Governance program. This includes supporting the development of strategies, policies, and procedures related to the governance and protection of data throughout its lifecycle. In addition, the role will facilitate compliance with the identified requirements to control risk and will support the development and implementation of Information Governance training and awareness programs.
• The Integrated Records Manager will support and develop compliance assessments for information governance and data protection including development of controls to measure risk. The role will support the WSP USA records and information management (RIM) program, ensuring information across all media and formats is properly retained and disposed. This includes remediation of legacy data and information repositories to ensure retention, disposition, protection, and classification are addressed in new applications, platforms, and systems.
• This opportunity is available for an individual who has completed a Bachelor's degree or higher in (or with specialized coursework related to) information management, information systems, law, business management computer science or BA/BS in another discipline with equivalent experience. The successful candidate will be a highly motivated self-starter with a high level of integrity and personal accountability.
Who You Are
Required Qualifications
• 4+ years of applicable RIM work experience.Strong attention to detail.
• Strong interest in understanding and solving data challenges with experience in information governance, data protection, and knowledge of enterprise systems, networks, databases, and other technical domains.
• Communication, and presentation skills including the ability to listen and quickly translate business needs into solutions and build effective working relationships.
• Strong strategic thinking, problem solving, and analytic skills.
• Ability to adapt to change in emerging environments and work across multiple areas.
• Experience in project management, project execution, and manage multiple priorities in a timeline driven environment.
• Experience working in a highly regulated environment including an understanding of audit and compliance requirements.
• Understanding of and interest in technology selection and implementation.
Demonstrated proficiency in the following areas:
• Electronic records management
• Office 365
• Project / Program Management
Preferred Qualifications
Certification as ERM Master (AIIM); ECM Master (AIIM); Certified Information Privacy Management (CIPM), Certified Records Manager (CRM), and/or Certified Information Privacy Technologist (CIPT), and one or more of: Certified Information Systems Security Professional (CISSP), Information Governance Professional (IGP), Certified Information Security Manager (CISM) and Certified Information Systems Auditor (CISA).
Experience with systems architecture, design, development, testing, implementation of records and information management, including Enterprise Content Management.
