ORGANIZATIONAL SUMMARY:
The College of The Arts offers undergraduate and graduate degree programs and enrolls over 1400 majors. Within the college there are four academic schools: the School of Architecture and Community Design; the School of Art and Art History; School of Music, and the School of Theatre and dance along with the Institute for Research in Art comprised of the Contemporary Art Museum and Graphic studio.
POSITION SUMMARY:
This position serves as Administrative Specialist to the Office Manager and the Director in the School of Music. The primary purpose of this position is to perform administrative tasks associated with planning, initiating, and completing all clerical tasks necessary to ensure the smooth running of the School of Music, and provide specialized program specific to the school.
RESPONSIBILITIES:
Human Resources: Assists with processing appointments of adjunct and graduate assistants. Monitors the time sheets of all hourly employees, including graders, accompanists and FWS students. Coordinates logistics for interview setup, both virtual and on-campus, for faculty search candidates.
Recruitment of students: Supports the department with monitoring the accepted program used for the School of Music audition process. Routes questions from perspective students to the appropriate faculty member and/or the academic advisor. Maintains the scholarship database and thank you letters to donors. Oversees Camp/Festival recruitment logistics including initiating the appropriate background checks, and the purchasing of food, if necessary.
Fiscal responsibilities: Oversees the ordering and return of music and maintains a database of purchases and rentals. Assists with the setup of suppliers in the Bulls Market and PO and/or check requests.
Monitors the reception area in the school, when students are not available, including answering questions from perspective students and parents, and giving tours of the building if necessary. Helps monitor the federal workstudy students within the administrative area.
Other duties as assigned.
POSITION QUALIFICATIONS:
MINIMUM:
This position requires a high school diploma or equivalent, with at least four years of experience in an office or administrative support position. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required
experience.
Preferred:
Familiarity with USF business systems, such as Archivum (for Travel), GEMS and Banner preferred
