Job applications for current students will not be considered if submitted through the external career center.Position DetailsThe Office of the Associate Provost has an immediate opening for an Administrative Assistant to provide assistance to the Academic Services office. This position reports to the Associate Provost and Dean of Academic Services.ResponsibilitiesProvide office coverage and work with Provost’s office staff to ensure phone and office coverage for Provost’s suite. Help develop new and revised office policies and procedures to ensure efficiency of the Associate Provost’s office.Provide administrative support and record maintenance for the Associate Provost. Maintain confidential records.Provide oversight of Academic Integrity case management; serve as resource for student, faculty and parent inquiries; run reports; conduct audits.Track and monitor Office of the Associate Provost’s budget; assist with Academic Services unit budgets, reimbursement requests and requisitions as needed.Hire, train and supervise student office workers.In collaboration with campus offices, assist with editing and review of University Catalog; manage workflow and timeline processes.Communicate with key University campus partners; troubleshoot student and family issues related to academic affairs.Coordinate Dean's Lists with college deans.Plan staff events; organize meetings. Create, prepare, and deliver reports as needed.Maintain and update Provost’s webpage.Manage two conference rooms. Maintain office suppliesContribute to a work environment that encourages knowledge of, respect for, and development of skills to engage with those of other cultures and backgrounds.QualificationsHigh school diploma required; some college preferredPrior successful administrative support experienceSelf-starter who can manage/anticipate projectsStrong organizational skillsProficient with MS Excel/Word/PowerPoint along with the ability to utilize UT platforms including Workday, Advocate, Navigate and othersExcellent written and oral communication skillsAbility to collaborate with campus partners including students, faculty and staffExperience in an academic office preferredWillingness to embrace new technologies and innovative organizational practices..Required AttachmentsPlease be sure to attach all required documents listed below in the attachment box at the bottom of the "My Experience" page of the application before continuing through the application.1.
