Hiring Salary/Salary Range: $18.68 - $23.47/hour
DUTIES:
Performs administrative duties as assigned. Maintains a daily presence in the Cognitive Aging Lab to oversee administration and operations of the lab and facilitates meeting any personnel-, supply-, technology-, facilities-, or equipment needs. Manages all IT and facilities requests for the Cognitive Aging Lab. Attends weekly lab meetings. Assists with lab email. Assists with mailings. Manages the Principal investigator’s (PI) schedule.
Arranges all meetings of the PI with study staff, collaborators, and funding agencies. Sets up doodle polls to find availability of various team members to schedule meetings. Follows through on communication until a mutual time for meeting is agreed upon. Sets up virtual meetings using appropriate software.
Corresponds in a professional manner by phone and email with collaborators in and outside of the university on behalf of the PI. Sends reminders and agendas for meetings in advance. Attends meetings and prepares minutes. Distributes minutes after obtaining PI approval. Keeps an inventory of supplies on hand in the Cognitive Aging Lab.
Receives purchasing requests from the Cognitive Aging Lab staff, acquires PI approval for purchases, and purchases items approved.
Performs procurement and accounts payable functions including purchase orders and P-Card.
Prepares non-payroll expenditures including setting up Vendors and Consultants. Ensures vendors and consultants are paid and manages invoices. Handles payments of monthly bills and accounts for the cognitive aging lab. Handles travel authorizations and reimbursements.
Handles all study participant reimbursements and incentives. Manages all purchasing and payments and reconciliation thereof for the Cognitive Aging Lab and team members across study sites. Tracks purchases and expenditures and reconciles with Finance mart.
Performs other duties as assigned.
QUALIFICATIONS (Education & Experience):
Minimum Qualifications:
This position requires a high school diploma or equivalent, with six years of experience in office or administrative positions.
Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.
Preferred Qualifications:
Administrative experience; Experience working with sponsored research and grants.
