Job Description
We are partnering with a non-profit organization in the Tampa area who is looking to hire a temporary Executive Assistant. If you have non-profit or C-Suite support experience please apply today!
Job Requirements:
• 3+ years of experience as an EA for C-Suite, Director level, or Presidents
• Must be proficient with MS Office (Outlook, Word, Excel) and Zoom
• Experience in the non-profit sector is preferred
• Experience with attending Board of Director meetings and taking minutes
• Degree preferred, but not required
Job Description: • The Executive Liaison is a "right hand' for the President/CEO and supports the Chairman of the Board and the senior leadership team, while serving as the Liaison for high profile donors, Board of Directors and key external individuals and groups.
• Serve as liaison to external stakeholders who seek to contact the President/CEO.
• Handle and direct inquiries that come to the President/CEO's office.
• Coordinate the President/ CEO's schedule to ensure all meetings are planned and within a reasonable geographical area.
• Send updated notices in advance to all parties about upcoming meetings.
• Include specific details about meeting locations including dates, times, directions, and parking consideration as well as answering inquiries and monitoring RSVP.
• Manage correspondence to and from the President.
• Gather information, prepare correspondence and answer telephone and email requests.
• Act as liaison with staff to organize the timely flow of information and ensure an orderly process for document review and decision-making by the President/CEO.
• Proofread, finalize, and compose letters, memos, and all other documents that are generated by the President/CEO.
• Maintain an up-to-date and accurate database of contracts and due dates while keeping relevant staff informed of deadlines and critical contractual requirements.
• Act as primary point of communication for the President/CEO's office to all Board members.
• Publish and distribute Board updates and newsletters.
• Create documents, presentations and other collateral materials for Board meetings.
• Send Board agendas and content 3-days in advance of meeting.
• Write and maintain error-free meeting minutes.
• Coordinate logistics of all Board related meetings and events
Other Information: • We are looking to interview and hire immediately!
• This position will be approximately a 1-3 month contract
• The pay rate is $23 - $25/hr depending on experience
• The hours are 9am - 5pm Monday - Friday (100% in office)
