JOB TITLE:  SCHOOL SECRETARY I
Reports To:   Principal
Job Description :  Perform administrative support duties to ensure the smooth and efficient operation of the school.
Qualifications:
• High school diploma or GED Certificate.
• Keyboarding, telephone and filing skills.
• Excellent Problem-Solving skills.
• Excellent oral, written and interpersonal communication skills
• Ability to handle and complete multiple tasks simultaneously
• Must meet the requirements of a criminal record checks as specified by Kentucky state law.
• Proficiency in a variety of computer software programs including Microsoft Office, google, etc.
• A minimum of 3-year experience in an office setting as a secretary, administrative assistant, office manager, or comparable position
• Experience in a school setting, preferred
KNOWLEDGE OF:
• Modern office practices, procedures and equipment.
• Record-keeping techniques.
• Health and safety regulations.
• Correct English usage, grammar, spelling, punctuation and vocabulary.
• Oral and written communication skills.
• Interpersonal skills using tact, patience and courtesy.
• Telephone techniques and etiquette.
• Operation of standard office machines including copier, computers, and radios.
Essential Functions, Duties and Responsibilities:
• Demonstrate prompt and regular attendance.
• Serve as a liaison between the school, staff, parents, and community.
• Assure the smooth and efficient operation of the front office of the school.
• Add, subtract, multiply and divide quickly and accurately.
• Understand and follow oral and written directions.
• Compose correspondence independently.
• Complete work with many interruptions.
• Work independently with little direction.
• Establish and maintain cooperative and effective working relationships with others.
• Learn, interpret, apply and explain rules, regulations, policies and procedures.
• Understand and work with scope of authority.
• Maintain good public relations with principals, teachers, central office staff and the public.
• Meet schedules and time lines.
• Plan and organize work.
• Compile and maintain accurate records and prepare reports.
• Work confidentially with discretion.
• Perform usual office routines and practices associated with a busy and efficient school office.
• Receive, screen and route incoming calls; take messages, as necessary, for the principal.
• Establish and maintain appropriate filing systems, including but not limited to files for pertinent school correspondence, fund-raising, purchase request, red book items, maintenance information and the annual schedule of events
• Sort and distribute incoming mail and packages
• Perform other professional duties and responsibilities as assigned by the principal.
• Serve as secretary to the principal; compose routine correspondence independently; prepare, type and distribute communications and minutes of meetings; schedule appointments and meetings as requested; receive, open and route mail.
• Collect, compile, organize and record a variety of data related to: personnel, payroll, equipment; prepare and maintain related records, files and logs.
• Provide coverage at the receptionist desk.
• Responsible for purchase orders, invoices, ordering, and other processes related to accounts payable and receivable.
• Reports to work promptly and on a regular basis.
Terms of Employment:
• Classified salary schedule
• Classified benefits package
• FSLA Statues-Non-Exempt
• 235 days per year
• 8 hours per day
WORK ENVIRONMENT:
Indoor, environmentally controlled.  Typical office environment including but not limited to telephones, personal interruptions, background noises.  Requires working with or near the public, parents, and children and will be subject to sounds, scents, and other related environmental factors.  This position will require dealing with conflict and requires use of sound judgement.

• Standing and walking intermittently throughout a typical work day
• Lifting-up 20 lbs.
• Sitting for long periods of time
• Repetitive movement
Travel Requirements: (Frequency and Duration)
• Less than 10% out of district
• Daily as needed within district boundaries

Performance of this job will be evaluated in accordance with provisions of the Board's policy on Certified Evaluation Plan.  The evaluation will be conducted by the principal..
