• Thanks for visiting our job post. We hope you're having a great summer. We seek a professional and dedicated Executive Assistant in Athens for a graduate school front desk.
• POSITION SUMMARY:
• This position serves as the confidential, primary assistant to Executive Personnel with a prestigious University in Athens, GA. This position is highly complex due to the wide variety of responsibilities, requiring the successful candidate to be flexible, knowledgeable, and well organized; possess mature judgment; be able to prioritize tasks; serve a diverse group of constituents; and multi-task effectively. The employee is expected to take the initiative in identifying and recommending administrative improvements.
Face-to-face contacts, telephone contacts, and correspondence may include representatives of governmental agencies at local, state, and national levels. * Discusses the daily itinerary to provide opportunity for establishment or re-ordering of priorities, sharing of pertinent information, and discussion of problem areas.
• Operates with limited supervision while exercising appropriate judgment in determining work priorities for this position and others in the office.
• Develops and implements office procedures that enhance efficiency
• Provides, transmits, and communicates information of a highly sensitive nature. Maintains personnel information, confidential files, and action records
• Disseminates information requiring a thorough understanding of the policies of our client site
• Composes, reviews, and edits documents on behalf of our client site. Reviews incoming mail, responds as appropriate, or forwards to our client with necessary information attached.
• Composes executive summaries of internal/external reports, project files, and files regarding other issues
• Coordinates and maintains our clients calendar and travel; arranges meetings/appointments and sends reminders as required; schedules and informs our client of impending engagements with internal/external community leaders. Prepares necessary materials; coordinates and expedites necessary pre and post- follow up items.
• Represents our client in, and relieves our client of, numerous personal contacts by acting as first contact and screening of calls and appointments.
• Prepares agenda; sends meeting reminders; prepares, distributes, edits, and posts meeting minutes; and prepares reports for distribution on behalf of our client.
• Handles challenging and stressful situations with poise when deadlines must be met or when personnel issues and/or conflicts occur.
• KNOWLEDGE SKILLS AND ABILITIES
The successful candidate must demonstrate excellent interpersonal, organizational, and computer skills (to include Microsoft Office and other administrative applications); excellent communication skills; an aptitude for basic accounting procedures; the ability to exercise initiative, independent judgement, and discretion in performing administrative duties; a collaborative work style; a strong work ethic. Additionally, the successful candidate must be organized and adept at managing multiple responsibilities and tasks while working confidently and effectively with diverse internal and external constituencies.
MINIMUM EDUCATION AND EXPERIENCE
• High School Diploma or GED or Some College Coursework
• Extensive experience in executive administrative support preferred
