Organizational Summary
The University Controller's Office is a System-wide function which is led by the Assistant Vice President/Controller and has approximately 140 employees. The UCO consists of Financial Reporting & Accounting (General Accounting, Financial Systems, Reporting, Research Cash Management, and Asset Management); Payment Services (Accounts Payable, Travel); Purchasing Services (Purchasing, PCard, Central Receiving); Student Financial Services (Cashier's Office, Student Accounting, and Accounts Receivable); Payroll and Tax Services. The UCO's mission is to safeguard institutional resources and provide accounting and operational support to the USF System while ensuring compliance with all Federal, State and regulatory financial guidelines.
Position Summary
The Senior Processor for the Accounts Payable department is responsible for reviewing and processing invoices submitted by vendors that provide goods and services to the university. Verifies compliance with all state and university procedures. Tasks include processing complex invoices for payments such as international wires, construction invoices; review sub-agreement invoices for compliance with contracts, and process confidential study subject payments. Additional duties include assigning work to other processors in the absence of the Accounts Payable supervisor.
Responsibilities
Invoice Processing: Audit submitted invoices against purchase orders and contracts for payment processing. Verify submitted invoices match items and price with approved USF purchase orders; payments are submitted to the correct vendor address and processed in a timely manner. The Senior Processor is the primary processor for international wires, construction invoices and sub-agreement invoices and other high dollar payment requests.
Work with USF department contacts and external vendors to resolve invoices with compliance or matching issues by email and phone. Follow up on outstanding items in processing queue and keep management informed of any urgent items that remain unresolved.
Processing of Study Subject participant payments includes checking secure fax line for submitted payment requests. Work with submitting departments to ensure HIPAA procedures are followed and participants are paid in a timely manner.
Assign invoices for processing to other processors in the absence of the Accounts Payable supervisor.
Minimum Qualifications:
This position requires a High School diploma and two years of fiscal, office or business support experience of an equivalent level. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.
Preferred Qualifications:
Associate's degree or higher and two to three years of Accounts Payable experience.
