Essential duties and responsibilities:Provides secretarial support to PrincipalRecords messages to the Principal and keeps log of sameResponds to requests for informationMaintains updated list of terminated employees during school yearSorts and date stamps all incoming mail to Principal and Assistant PrincipalMaintains tickler system for deadlines, assignments, projects, etc.Process new hire paperworkFollows up with fingerprinting for new hiresMaintains and processes teacher certification information in Excel formatMaintains updated personnel files in complianceMaintains filing system as well as set of locked confidential files.Act as payroll officer for the schoolSubmits payroll information in a timely mannerMaintains updated benefits informationMonitors personnel time sheets and requests for absenceProcess Out-of-Field Waivers and documents same on Excel spreadsheetMaintains adequate supply inventory and processes supply request formsDistributes school-wide email as approved by PrincipalMaintains inventory for office materials and orders as neededMandatory attendance at all staff meetingsPrepares meeting agendasResponsible for taking minutes and distributing same for all required meetings in a timely mannerPosts mandatory notice for Board meetingsResponsible for maintaining District/State data baseInforms Principal of bulletins that appear on the District/State databaseInput all information required for each panel in DISTRICT/STATE DATABASE in a timely and accurate mannerProcesses changes to database only via change forms signed by PrincipalProcesses changes of address in District/State database and emergency cardsMaintains immunization updates for existing studentsMaintains accurate records for room use and class loadsMaintains student records according to District guidelinesMonitors and maintains all cumulative records including sign-out procedures and discard of irrelevant items according to district guidelines.Sends files to schools as appropriate for withdrawn students, in a timely manner.Files new cumulative files as they are delivered.Reads and distributes inter-school and district mail appropriately.Responsible for maintaining student enrollmentFacilitates student withdrawals and maintains withdrawal informationSupervises the transmittal of transcripts and other official documents related to studentsSupervises registration of studentsMaintaining updated student immunization recordsFacilitating annual lottery processMaintains waiting listProcesses notification lettersPrepares an annual report of withdrawals and transfers, indicating the reason for each student's departureMaintains in-house database of studentsWorks closely with Guidance Counselor insuring student schedules are accurateResponsible for mailing of Report Cards and other mass mailings directed to assigned classPerforms such other tasks and assumes such other responsibilities as the Director/Principal may from time to time assign.Maintain Time and Attendance for non-exempt employeesMaintain Power schools Data if applicableBenefits Include:Free Healthcare401KEmployer Paid Short Term DisabilityLong Term DisabilityGroup Accident, Hospital, & Critical illness
