Full-time/Part-timePosition PurposeContribute to making Southern States Material Handling a leader in the material handling industry by providing support to rental customers through frequent communication, representing SSMH in a positive manner by demonstrating a high level of expertise and professionalism.Major Tasks, Responsibilities and Key AccountabilitiesBillingCreate weekly billing summary and submit to all coordinators for review of prior to billing Generate Rental and Transportation billing (Daily/Weekly) Audit and release of all invoices prior to postingMaintain rental customer card/check information for the Chase Payment System (credit card). Process all credit card and check payments (Chase Payment System) from customer for all COD customers. Issue rental customer credits due to early returns or service issues (rental related). Create I-invoices for all RCABUSE (Re-Rent) items and buyout options for customers. Unique Functionality Abilities: Receive all vendor invoices for both Rental and Transportation to process through Trin-Doc's system. Invoice audit to apply correct GL code, branch, department for Trin-Docs, which then goes to A/P for processing of payment.Assist as needed with A/R Collections, contacting customer, obtaining updated purchase order numbers.RentalCreation of RPO (Rent, Purchase Option) Contracts - communicate with Solutions Coordinators for all required Contract information. Acquire RPO rate code from IT Department to ensure billing accuracy for recurring contract invoice.Creation of Internal Lease Contracts - communicate with Leasing Department to ensure pricing, documentation, type of maintenance matches Lease documentation are correct for contract. When needed, remove units as they come off-lease from contract to ensure continued accuracy of contract billing. Deliver Rental Contracts once paperwork has been signed and sent through DocuSign via Transportation delivery documents. After delivery, verify contract type/duration match and document status is correct to ensure contract invoices correctly.Return all contracts once driver has picked up the items and paperwork has been processed through DocuSign. If a credit is needed to be done at that time, process credit, forward to Accounting (Cash Application) to have applied to the correct invoice and send the credit memo to customer. Rental Coordinator alternate due to vacations or illness as needed.Inventory/Purchasing Initiate and Audit inventory reports from rental coordinators and make needed Object card corrections within ELC. Review branch to branch fleet transfers for ELC accuracy. Audit electric units to ensure object and battery are linked correctly in ELC. Makes sure all re-rent objects are added correctly in the system and returned to vendor once unit has been returned. Purchase new batteries (through ELC) for our electric units and schedule install of the battery once it has arrived. Issue POs to vendors for any re-rent items. (Forklifts, Batteries, Chargers, Attachments)Weekly departmental report generation.Transportation (Alternate)Schedule drivers on dispatch boardPush all documents to driver tablets in accordance with process and procedures.
