The Organization contributes towards our employees' health and life insurance.Employees are able to participate in a discount and cash rewards program.Essential Job FunctionsMeet and greet the public, residents and employees cheerfully & professionally at all times.Answer multi-line telephonic system, transfer calls and take messages as needed.Utilize computerized systems to monitor email requests, security cameras, resident call center & emergency alarm functions. Immediately report problems and alerts to appropriate staff.Use computer (Microsoft Word, Excel, Outlook, Access, etc.) to compose & edit written documents and correspondence, document daily reports, report problems and work orders, reserve rooms for facility functions and a variety of other clerical support services.Assist staff in providing and coordinating services to residents, families and guests.Organize office functions and flow of communication, use problem solving skills to discern best course of action.Duplicate & distribute information.Maintain office supplies and identify needed supplies to supervisor.Create and maintain an environment for residents, families and guests that is customer-friendly and that values and respects the uniqueness of each individual.Conduct tours in the absence of the Executive Director or Marketing Director.Sort and distribute mail and correspondence to individual mailboxes.Maintain professional dress and composure at all times. Maintain privacy as directed by HIPPA & AHCA and follow all related policies and procedures regarding protected health information.Position RequirementsMust have a high school diploma or GEDAbility to perform mathematical calculations correctly at a 12th-grade level. Ability to communicate both verbally and orally in fluent English, with good grammar skills at a professional level or above.Minimum one year experience in an Administrative related setting.Minimum one year recent computer experience utilizing current software such as Microsoft Office and Internet Explorer.Knowledge of & ability to operate and maintain common office equipment such as fax machine, copier, telephone system, computer & printer.Ability to organize the flow of a busy reception area.Ability to handle detailed work.Must be able to relate and interact appropriately and professionally with residents and staff. Ability to speak distinctly and to communicate verbally with residents and staff.Must be available for continuous employment without gaps other than the holidays, vacation and sick leave as described in the employee manual.Use tact, discretion and good judgment.Evidence of emotional maturity and stability including the ability to separate personal (emotional) with business/work (facts).Professional in dress, appearance and overall speech.Evidence of sufficient security and judgment to handle crisis situations.Be in agreement with philosophy, mission and overall direction of Weinberg Village management.Must be able to support the Executive Director in all decisions.Reporting RelationshipsReports to the Administrative Assistant and Executive Director.We are an Equal Opportunity EmployerWe are a Certified Drug-Free Workplace
