Position OverviewThe Project Administrator position is responsible for supporting project teams, ensuring compliance with Baker Barrios' processes and standards, and general office needs.Essential Job FunctionsLog and track RFIs, submittals, change orders, and other contractor documentation, and track status of outstanding items.Maintain communication with Architects, Engineers, Owners, Contractors and Construction ManagersGenerate punch lists, fields reports, and other construction documentation.Assist with Office Administrative duties and project specific needs.Assist Practice Leaders draft AIA contractsDraft and proofread fee proposalsAssist with inputting data into project management software to track time expenditures on projectsTake drawings in for permitPrepare meeting agendas and meeting summariesCreate RFPs for consultantsAssist with creating and generating monthly and project specific revenue/time analysis spreadsheetsAssist team with managing Accounts Receivable - follow up with clients regarding late paymentsKnowledge, Skills, Abilities & Other Characteristics3-5 years of experience in construction coordinator or administrative support roleAbility to communicate well across all levelsSkill sets include the ability to multi-task along with strong organizationAbility to work in a schedule driven environmentProficient in Microsoft Office and knowledge of Newforma is preferred.Ability to work well under deadline pressure and handle multiple assignments concurrentlyTake initiative, work independently with little guidance, and work cohesively with a team.Experience with RFP processKnowledge and/or experience in Construction Phase Services preferredThis is not a work remote position.
