Shriners Children's is the premier pediatric burn, orthopaedic, spinal cord injury, cleft lip and palate, and pediatric subspecialties medical center.   We have an opportunity for an Executive Administrative Assistant, CNO at our Headquarters location.
The Executive Administrative Assistant provides primary support and assistance to the Chief Nursing Officer who is responsible for the department of Patient Care Services and the Directors of Patient Care Services/Nurse Executives (DPCS/NE) in the Shriners healthcare system. This position coordinates all official correspondence requiring the Chief Nursing Officer’s approval and dissemination. Effectively manages multiple projects, programs and initiatives within the department as directed. Understands the requirements of the other executives, and with an ability to discern scheduled events or meetings prioritizes for allocation of the executive's time. Demonstrates willingness and ability to be flexible, function as a team player, multi-task and prioritize assignments to meet time sensitive deadlines.

Responsibilities:
Position Responsibilities:
• Supports communications to headquarters, DPCS/NE’s and other Patient Care Services departments as defined by the Chief Nursing Officer. Enhances CNO’s effectiveness by communicating effectively, accurately and confidentially to expedite information in a timely manner. Demonstrates a high degree of business acumen, with the capacity to influence others on behalf of the Chief Nursing Officer and other executives. Follows appropriate escalation processes to resolve issues by end of business day. - 15%
• Conserves CNO’s time by reading, editing, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications. Facilitates completion of reports by collecting and analyzing information to meet timelines. Coordinate’s Chief Nursing Officer’s professional memberships and annual meeting attendance. Maintains Chief Nursing Officer curriculum vitae, licensure and professional memberships. - 15%
• Supports meetings within CNO’s area of responsibility by creating agendas, recording minutes, distributes minutes and information within five business days of the meeting. Actively tracks progress of action items to ensure timely completion. Coordinates activities and scheduling of the Chief Nursing Officer and Nurse Executive Team. Maintains appointment schedule by planning and scheduling meetings, conference,teleconferences and travel. Prepares expense reports for timely submission - 15%
• Readily accepts new challenges and assignments and responds rationally and effectively to work demands and aggressive deadlines. Flexible with work schedule as needed. Proactively seeks opportunities to acquire additional knowledge and skills including cross training with other department staff. - 15%
• Provides support for conferences and seminars for the Chief Nursing Officer by a) preparing agendas, conference contact information, reports, PowerPoint presentations, communications, minutes and distributes in a timely fashion (within five business days) and b) setting up meetings, materials, communications and logistics, scheduling rooms, breakouts, dinners and support services, in coordination with appropriate Headquarters employees. - 10%
• Provides assistance to the Medical Affairs and Patient Care Services department members to enable them to meet required deadlines by facilitating approvals, document reviews and meeting time with the Chief Nursing Officer. - 10%
• Maintains global email distribution lists, web and Patient Care Services Share Point sites as applicable. Maintains web and Share Point sites for Patient Care Services. Creates and maintains working files on various subject matters and/or subcommittees - 10%
• Works collaboratively with the Executive Administrative Assistant Medical Affairs in the editing and processing of MA/PCS departmental procedures, as necessary. Provides coverage for other department administrative staff as needed with the approval of the Chief Nursing Officer. - 10%
Qualifications:
Job Requirements:
• 3 or more years of Senior Administrative Assistant experience preferred
• 1 year of healthcare office experience preferred
Education:
• High School Diploma/GED required
• Associate's Degree in related field preferred
Knowledge, Skills & Abilities:
• Excellent proofreading skills
• Proficiency in Microsoft Office Suite
Current full Covid vaccination status required
