POSITION CONCEPT:
The Project Support role provides a full range of administrative and technical services to assist the Project Management group and project technical staff during the engineering, design, planning, construction, start-up, turnover and closeout of major plant additions, modifications, and outage projects. Project Support relieves the project team members of routine tasks, including electronic file management, drawing and document cycle management, expediting and administrative tasks.
DUTIES AND RESPONSIBILITIES:
Under limited supervision, performs a variety of tasks for Project Management and the project team technical staff. Responds to non-routine, moderately complex inquiries and calls with some degree of latitude and judgment using existing policies and procedures.
1.    Perform document control functions including assisting end users with document/drawing/information searches, including locating in the electronic document management (EDM) system, downloading, uploading, issuing transmittals, indexing, and merging documents for upload to the EDM system and updating tracking systems maintained by the Supervisor of Document Control and Support Services. Work with TEC engineers to ensure engineering firms understand and follow TEC document control procedures. 40%
2.    Maintain organized and complete project files per the established standard. Monitor and manage project mailboxes, SharePoint Sites or the equivalent and ensure project communication protocol is followed. 20%
3.    Track, log and expedite internal project document reviews and approvals including, but not limited to, Program Scope Approvals (PSAs), scopes of work, drawings and specifications. 10%
4.    Perform administrative tasks for Project Managers and other project team members including organizing meetings, coordinating visitor entries with plant gate guard, recording minutes of meetings, preparing and proofreading project documentation including, but not limited to, Contract Work Orders, procurement recommendation memos, turnover packages, memoranda, and reports . 10%
5.    Backup and assist counterparts on other project teams. Backup and assist administrative specialists as needed performing duties such as entering contractor time into Workman, creating Facilities or Service One work requests and managing supplies inventory. 10%
6.    Perform duties and special projects as assigned by the Project Manager. 10%
7.    Track, log and expedite additional external project document reviews and approvals. This includes, but is not limited to vendor prints, submittals, Requests for Information (RFls) and project deliverables. 10%
8.    Assist in tracking and expediting procured items such as engineered equipment and commodity materials. 10%
9.    Perform document and drawing quality control inspections and resolve problems. 10%
10.    Assist in Document Control process design and process improvement efforts as requested by the process owner, the Supervisor of Document Control and Support Services. 10%
11.    Performs all duties of the previous levels. 70%
12.    Track and expedite procured items such as engineered equipment and commodity materials. 10%
13.    Perform document and drawing quality control inspections and resolve increasingly complex problems. 10%
14.    Contribute significantly to Document Control process design and process improvement efforts as requested by the process owner, the Supervisor of Document Control and Support Services. 10%
LICENSES/CERTIFICATIONS:
Required: Valid Driver's License
EDUCATION:
Required: Valid High School Diploma or valid GED
Preferred: Some college or a technical certification
EXPERIENCE:
Required: Minimum of 4 years of related office work experience with progressively more complex technical assignments.
College degree may be considered may be considered in lieu of up to two years of work experience.
KNOWLEDGE/SKILLS/ABILITIES:
Required: Attention to detail, solid communication and interpersonal skills required. Ability to use logic and common sense to solve problems, ability to read and comprehend policies, procedures and instructions, strong computer skills with a high degree of speed and accuracy, Strong working knowledge of Microsoft Word, Excel, Power Point, SharePoint and Adobe Acrobat Professional software.
Preferred: Knowledge of Records Management policies and procedures; Working knowledge of an Electronic Document Management system; Working knowledge of major engineering/construction project document control
WORK CONDITIONS:
This position works in an office environment at either the Plaza or a power plant; Travel to other project sites and other TEC locations is required on an as-needed basis.
