ORGANIZATIONAL SUMMARY:
This position is part of a business office which reports directly to the College.  The CoTA Business Office serves students, faculty and staff in carrying out the fiscal, operational and personnel related transactions needed to facilitate learning and student success at the College of The Arts.
POSITION SUMMARY:
This position works as an integral member of the CoTA Business office team to assist in the processing of all business operation transactions. This position will be responsible for all travel related transactions and will oversee purchasing related transactions within the College of The Arts.
RESPONSIBILITIES:
Initiates requisitions for purchases, initiates purchase orders (PO's), Honorariums, Purchase Request forms for approval, and verifies invoices received, and reconciles these expenditures. Ensures that all invoices are paid in a timely manner and responds to inquiries regarding the status of requisitions, PO's or goods/services received. Approves invoices for payment, and reconciles purchasing transactions (P-card, invoices, etc.) to the ledger. Resolves vendor billing problems. Prepares and processes check requests for USF Foundation accounts, excluding Travel.
Supports travel processing by creating and submitting expense reports for all staff, faculty and guest pertaining to the College of The Arts in accordance with the USF Travel manual. Properly maintains all electronic filing in the box of fiscal records related to travel. Resolves issues related to such transactions. Including, collecting and reviews all travel receipts to ensure they are in compliance with USF Travel. Audits expense reports and corrects reports before submitting to be processed. Monitors and tracks department spending and notifies appropriate persons of potential deficits before travel request is submitted for processing. Supports all of Foundation Travel by creating and submitting the check request to the Foundation. Check and review weekly Power BI reports.
Other duties / projects as assigned.
POSITION QUALIFICATIONS:
MINIMUM:
This position requires a High School diploma or equivalent with three years of work experience in positions with fiscal or accounting support duties. College or other relevant post-secondary coursework may substitute for the experience requirement on a year for year basis.
PREFERRED:
Associate's degree in business, accounting, or related fields; experience with Microsoft Office; Excel, Outlook, Teams etc. Demonstrated technical skills and abilities in operating in transactional database systems as well as internet based systems.
