ORGANIZATIONAL SUMMARY:
The Department of Internal Medicine is the largest and most complex department in the Morsani College of Medicine with over 26 Division, Programs and Centers/Institutes, total human resources in excess of 1,000, and an annual all-source budget in excess of $115,000,000. The mission of the Department is to rank among the elite in the nation in the areas of education, research and patient care. The Department provides education and training for a diverse group of medical students, residents, fellows and health personnel from USF and throughout the world. Highlights of our success include Board Pass Rate at 100%; Resident Match Rate at 100%; Growth of residency program from 80 to 115; growth of fellowship programs from 70 to 96; doximity ranking at 84 and USMLE score average increasing from 200 to 247.
The Department's research activities are numerous and involve both basic and clinical research activities in all subspecialties of Internal Medicine. Our current Blue Ridge Institute for Medical Research ranking equals 19. Patient care occurs in our affiliated hospitals (including Tampa General Hospital, H Lee Moffitt Cancer Center and Research Institute, James A Haley VA Hospital, Florida Hospital) as well as our state-of-the-art ambulatory health care centers. The Department also provides healthcare support and services via contractual arrangements with many diverse organizations. The US News & World Report recent rankings of our subspecialties include Endocrinology at 13, Nephrology at 18, and Gastroenterology at 24 and Pulmonary at 28. The Department's faculty represent a group of dedicated physicians that are well-recognized as leaders in all three mission areas.
POSITION SUMMARY:
The position of Senior Medical Education Program Specialist will ensure effective educational program administration and compliance across multiple fellowship programs. The position is responsible for cross-training with education specialists in all aspects of educational program administration, operations and compliance. The position serves as a senior resource and aids in the administrative and operational workflows to strengthen effectiveness and budgets of the education programs while also assisting with divisional operations and performance enhancement in patient care and research. This position will train lower level coordinators.
RESPONSIBILITIES:
New Innovations Management: Check duty hours monthly & send additional reminders as needed, update any violations with explanations; Input Assignment schedule & leave monthly; Oversee evaluation completion, send reminders, etc.; G&O/Curriculum acceptance tracking monthly; Manage Conferences- obtaining presentations and uploading (if applicable) ; Manage Semiannual Reviews (obtaining e-signatures, setting up each 6-month period, etc.); Fellow Portfolio (updating certifications, scores, etc. as needed); Uploading incoming residents from ERAS; and Annual contract signing and completion  GME onboarding checklists.
ACGME-Related Support: Maintain electronic records per ACGME and legal compliance standards; Rotation Verification Requests (monthly) Entering all leave, clinics and conferences into New Innovations, obtaining signatures on the form & submitting to GME monthly; Resident & Faculty Surveys Management (track completion rates and send emails from the system for access, obtain reports); Assistance with Program Letters of Agreement: Assist in completing & obtaining signatures, sending to GME for approval, and inputting to New Innovations; and Assist in Website Updates: updating dates, photos, changes in program, etc.
Other Educational Support: Creating and obtaining approval and preparing documents for expenses and reimbursements in relation to the educational program budget; Completion of GME's credentialing requests on graduates (obtaining signatures and returning to GME); Recruitment Logistics: Helping coordinator in all deliverables, May also be expected/required to attend interview days; Visiting Residents: Manage process & communication with residents; Assist in CANVAS: Upload resources as needed, develop alongside Coordinator and PD; and Collect and document program's scholarly activities (QI, research, etc.) and faculty development initiatives & projects.
Administrative Support: Preparing documentation and reports to facilitate Program Evaluation Committee & Clinical Competency Committee Meetings; Co-Creation of program policies and keeping up to date with any revisions; Assist in Onboarding: Prepare documents for internal orientations (if applicable) & training schedule for incomings, ensure reminders are sent for ordering labcoats; and Conference Logistics (i.e. sending invites as needed, requesting presentations from fellows & faculty, tracking attendance, ordering food as if applicable), inputting attendance into New Innovations. Performs other duties as required to optimize effectiveness of operations and support the overall mission.
POSITION QUALIFICATIONS:
MINIMUM:
This position requires a high school diploma or equivalent, with 4 years of administrative experience.  At least one year of experience must involve administrative or program support duties in an academic department or college. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the general experience. This educational substitution does not apply to required year of experience in an academic program.
PREFERRED:
Previous experience working in College of Medicine academia preferred.  Previous experience as a Medical Education Coordinator with ACGME site review/working knowledge, ERAS interaction and NRMP rank list experience preferred.
