Summary and Job Scope: This position will provide vital support to our team by acting as the collector and liaison between Sales and customers. This person will handle important administrative tasks as well as support responsibilities for the department.
Individual must be able to work accurately and with great attention to detail. Excellent communication skills as they will be working with other departments providing service to both internal and external customers. This position will require superb clerical skills, together with computing and data entry skills.
Essential Duties and Responsibilities:
• Monitor aged receivables for assigned A/R accounts and make collection calls as necessary for any outstanding customer payments within the assigned portfolio.
• Add account update notes to ViewPoint regularly for accounts over payment terms.
• Perform customer account reconciliations, review, research, and submit disputed balances to sales for resolution.
• Communicate troubled accounts and escalate potential risk to Collections Manager
• Track and record liens and bond claims by filing the proper paperwork in a timely fashion based on the states lien laws
• Prepare accounts to submit to legal or collections.
• Provide notes for meetings reports.
• Participate in monthly calls between the Sales Reps and Sales Managers
• Attend monthly trade meetings as assigned such as NACM
• Provide necessary payment information for posting to the Cash application department.
• Assist in training new team members as needed.
Support responsibilities:
• Cover for assigned collector during absences/PTO.
• Assist Collections Manager in additional tasks as needed.
Qualifications:
• Intermediate user of Microsoft Office Suite and intermediate Excel skills
• ViewPoint experience is a plus
• Lien Law knowledge is a plus.
• Possess strong time management skills and exceptional problem-solving skills
• Possess excellent organizational skills, aptitude to focus on tasks until complete, and ability to prioritize to meet deadlines
• Must have outstanding math skills and attention to detail
• Establish and maintain a good business relationship with co-workers, internal and external customers.
• Capable of conducting independent research
• Open to change and willing to learn new skills
• Positive, upbeat, friendly attitude and mind-set
• Commitment to providing extraordinary customer service
• Capacity to follow up on pending issues
• Dedication to accuracy and attention to detail
• Familiarity with the industry would be a plus
• High School Diploma or Equivalent
• 3+ of Collections experience
