The Front Desk Supervisor oversees the activities of the front office and front office team members to ensure compassionate and professional care for patients and effective and efficient front office workflow.
Training, Supervision and Leadership
· Ensures appropriate orientation to front desk activities of new employees and ongoing training and development of staff to meet changing technological needs and organizational responsibilities.
· Identify and recommend solutions to front office team member and office issues or problems.
· Ensure high quality care for patients by reviewing and researching concerns or complaints and recommending corrective action as appropriate.
· Maintain excellent communication and effective working relationships with patients, providers, clinical and clerical team members within TBRO and insurance companies, the public and the medical community outside TBRO for continuity of high quality patient care.
Front Desk Duties and Responsibilities
· Monitor daily performance of front office team members to ensure duties are completed accurately, efficiently and timely.
· Organize and assign duties and tasks to front office team members.
· Responsible for oversight of collections and charge entry at the front desk.
· Ensures timely approval of biweekly employee payroll.
· Serve as a back-up for front office team members as needed by checking patients in and out and performing general administrative tasks due to staffing needs including vacations, illnesses, lunches, etc.
· Assist with or conduct periodic staff meetings with front office team members.
· Attend front office meetings and relay pertinent information to front office team members timely.
Staff Scheduling
· Develops office staff schedule to maintain effective customer friendly coverage at the front desk and through the phones in accordance with TBRO’s policy and procedures.
· Schedules additional coverage as needed; keeps overtime to minimum with Director’s approval.
· Maintains provider scheduling template in the EMR. Coordinates provider’s time off through approval process.
· Ensure that confirmation calls are made daily (via automated system) and to advise the patient when a referral is required.
· Serves as a direct assistant to the Director, Operations in scheduling both clinical and nonclinical appointments.
Education and/or Experience
Associate or Bachelors degree in healthcare administration or related preferred. Three years or more of directly related medical front office experience required. Multi-discipline, multi-location practice experience preferred. Understand HIPPA and OSHA regulations and privacy practices.
Qualifications
· Demonstrated leadership and management skills a must
· Must have high level of interpersonal skills to handle sensitive and confidential situations
· Working knowledge of medical terminology
· Excellent Customer Service
· Demonstrates good organizational skills in the preparation of daily work schedules and the assignment of duties and responsibilities, through supervisors, to staff members.
· Knowledge of basic computer applications in office management required
