ORGANIZATIONAL SUMMARY:
USF's Facilities Management Division plans, creates, protects, and maintains the university's physical environment. Facilities Management implements programs, manages projects, and executes strategic initiatives designed to realize the university's goals and objectives as a high-impact global research university dedicated to student success. Six departments make up Facilities Management: Design and Construction, Emergency Management, Environmental Health & Safety, Operations, Planning, and Services. The Facilities Management Division is part of the Office of Administrative Services.
POSITION SUMMARY:
Coordinates vehicle repair and maintenance activities and supports the vehicle maintenance and repair team by record keeping, scheduling, billing, and ordering.
RESPONSIBILITIES:
Service Writer:  Serves as the primary point of contact for all vehicle service and repair matters. (The term "vehicle" refers to all utility vehicles, golf carts, trucks, passenger cars and SUV's) Ascertains vehicle concerns by listening to customer's description of symptoms; clarifying the description of problems; receives work orders in the system; develops estimates by costing materials, supplies, and labor work; obtaining approval from the owning departments; assigns work orders to technicians. Maintains electronic records; follows periodic and annual service schedules; maintains constant inventory by ordering and receiving parts; keeps work area clean, free of debris, safe and put away loose stock.
Customer Service: Maintains customer rapport by explaining estimates and expected return of vehicle; obtaining customer's approval of estimates; answering questions and concerns; arranging towing if necessary. Establish and maintain cooperative professional working relationships; Performs support duties including preparation of correspondence and reports, filing, preparation and initiation of parts and supplies purchasing.
Performs minor or light repairs on vehicles, i.e., tires, bulbs replacements, disabled vehicle recovery.
Performs fuel tank inspections, ensure all fuel tanks remain in compliance with local and University guidelines;  maintain documentation of in-tank tests and inspection reports; assists recycle truck and waste truck drivers; coordinates waste bin service as needed.

POSITION QUALIFICATIONS:
MINIMUM:
This position requires a high school diploma or equivalent, with two or more years of experience in an office or administrative support position. College or other relevant postsecondary coursework may substitute for the experience requirement on a year for year basis. Testing may be required to assess competency on word processing software.
PREFERRED:
Previous experience overseeing and maintaining an extensive automotive parts inventory.
SPECIAL SKILLS/TRAINING:
Exemplary communication skills to effectively interact with customers to handle complaints, concerns, and provide answers to questions.  Proficient in Microsoft Office suite. Ability to manage time effectively and maintain control over all responsibilities with minimal supervision.
