Shipping Coordinator
Lap of Love Veterinary Hospice – Lutz, FL (please read the full job description before applying)
Lap of Love is a national practice dedicated exclusively to in-home end of life care for pets. We believe all pets and their families deserve the most compassionate and supportive end of life experience. Our veterinarians help pets and their parents with quality-of-life assessments, pain and anxiety management, end of life consultations, and peaceful euthanasia in the comfort of their pet’s favorite place – home.
Position Description:
Lap of Love Veterinary Hospice, headquartered in Lutz, FL., seeks to add a key member to its growing team by employing a dynamic and organized Shipping Coordinator to support daily operations. This individual will play an instrumental role in Lap of Love’s internal operations, facilitating Lap of Love’s shipping and receiving functions, and assisting all departments with projects related to sourcing new vendors, items, and arranging and completing associated shipping functions. Common tasks related to this role include fulfilling order requests, managing and tracking shipments, maintaining warehouse inventory, sourcing and creating new gift ideas, receiving items and notifying the appropriate team members/departments, and controlling the budget of the shipping department.
Overall, this is a self-sufficient role where you will frequently be asked to complete projects, often with minimal instruction, that require you to make independent decisions. Your ability to connect the dots and manage details along with your willingness to take on tasks, no matter how large or small, will be essential to your success.
Responsibilities:
• Process USPS, UPS, and FedEx labels for internal shipments
• Coordinate the packaging and shipping of initial supplies to all onboarding Veterinarians, Veterinary Care
Coordinators, and leadership team members
• Fulfill Monthly Supply Order requests for Veterinarians and additional requests for our marketing, veterinary outreach, and veterinary care coordinator teams
• Assure the main shipping facility, storage facility containing extra shipping and conference inventory, and home office are in optimal condition by keeping shipping facilities neat and tidy, coordinating necessary repairs, assuring cleanliness, and maintaining relationships with associated service providers
• Source, arrange and send gifts and cards to referral clinics, employees (bereavement, birthday, thank you, new baby, moving, company awards, etc.), and donors
• Work with the practice operations team to coordinate the receipt of any incoming items and redistribution of those items
• Arrange large time sensitive shipments containing booth supplies and materials for conferences
• Control budget of the shipping department by achieving the best shipping rates all while maintaining total quality
• Collaborate with the Director of Internal Operations, and other departments, to optimize shipping processes
• Create and maintain Shipping Standard Operating Procedures (SOP’s)
• Maintain shipping inventory including producing weekly and monthly inventory reports
• Help the executive leadership team cultivate and implement new projects and ideas
• File claims for orders that are delayed or lost
• Make sure all shipments are timely to maintain the utmost levels of satisfaction
• Limit any shipping errors

Acrobat Pro), G-Suite (Gmail, Google Calendar, Google Drive, and Google Docs), and have the ability to quickly learn web-based and proprietary software.
• Excellent project management and multitasking. You are exceptionally skilled at juggling multiple tasks, allocating and optimizing resources, and managing timelines. Whether it is something that requires a quick turnaround or a long-term project with many steps, you manage a task from start to finish, and keep everyone involved appropriately informed.
• Great communicator. You have excellent written and oral communication skills and are known for your poise, tact, professional demeaner, and diplomacy. You confidently engage with staff at all levels and across multiple parts of our organization. You are willing to listen and learn from others.

Experience and Education:
• College degree, or equivalent experience in shipping/receiving, ordering, packing, warehouse, or logistics experience, required
• Proven experience in a shipping role (Shipping Coordinator, Specialist, or Manager), preferred
• Understand and use software (Computer/shipping software skills and experience with shipping applications are highly preferred/required)
• Proficiency with Microsoft Office 365 (Word, Excel, PowerPoint, and SharePoint), G Suite (Google Drive,
Gmail, Google Calendars, and Google Sheets), Adobe, other software, and general office technologies.
• Confident, independent thinker, and self-starter
• Strong organizational skills with unmatched attention to detail
• Strong oral and written communication skills
• Willingness to work with others and respect their views
• Ability to handle multiple tasks with limited supervision
• Excellent follow-up skills
