Hilltop Holdings is currently looking to hire a Portfolio Coordinator to join our growing team. The Portfolio Coordinator supports the entire team of Portfolio Analyst with transactional real estate tasks and reporting duties. Provides administrative support related to the Real Estate transaction process in the areas of onboarding new lease negotiations, lease renewals, branch relocations, branch expansions, reconfiguration of space, branch closures, mergers, conversions and assignments.
Essential Functions
• Ability to set up and run reports out of the applicable data bases (LeaseHarbor-Lease Management Database and Expesite/Apex-Project Management)
• Supports the Branch on Boarding process in setting up third party vendors (signage, FedEx)
• Maintains various databases by ensuring all updates are entered in a timely and accurate fashion.
• Develop package for monthly meeting of Real Estate Transaction Assessment Team, maintains data for accurate reporting.
• Creates PowerPoint slides for Sr. Management meetings
• Maintains the Real Estate/Facilities intranet page.
• Reviews and processes departmental third-party invoices.
• Supports and implements continual process improvements within the department.
• Maintains database of certificates of insurance for real estate portfolio.
• Other functions as needed.
Job Requirements
• Must be able to effectively communicate in verbal and written form with internal and external partners.
• Must be customer service oriented.
• Advanced / expert proficiency in Excel and PowerPoint
• Prior real estate transaction experience is highly desired.
