ORGANIZATIONAL SUMMARY :
The Office of Faculty and Academic Affairs (OFAA) serves as a resource center and facilitation entity for USF Health (Morsani College of Medicine, College of Public Health, Taneja College of Pharmacy, College of Nursing, and School of Physical Therapy) and the University community under the direction of the Senior Associate Vice President of Faculty & Academic Affairs, USF Health and Vice Dean of Faculty Affairs, Morsani College of Medicine, and is responsible for USF Health faculty matters and appointments.
POSITION SUMMARY :
Reporting to the Director of Faculty Affairs for USF Health, the USF Health Faculty Services Administrator serves a central information resource and administrative officer on university policies and procedures regarding full-cycle faculty recruitment, faculty appointment and on-boarding, as well as personnel matters.  This is a professional position supporting faculty appointments for Advanced Practice Providers (APPs) within the Morsani College of Medicine (MCOM). This position requires considerable contact with MCOM Department leadership and hiring authorities, through individual appointments, e-mails and phone calls.  The Faculty Service Administrator must maintain extensive knowledge of university policies and procedures and interpret them for human resources and faculty reporting matters.  They must be able to interpret faculty needs and provide individualized service.  This is administrative work which is directly related to the academic mission of the University, requiring the application of discretion and judgment on matters of significance within respect to faculty recruitment, appointment, and other personnel matters.  This position acts as a liaison for all faculty APPs and all clinical departments within MCOM.
RESPONSIBILITIES :
• Serves as the APP on-boarding liaison to independently manage and provide guidance to MCOM departments regarding the on-boarding process for all APPs.  As liaison, consults with internal and external entities to oversee and manage the on-boarding process to ensure all necessary hiring contingencies are in order to complete appointment process. Actively works with entities and APPs to resolve any issues regarding necessary credentialing and privileges.  Monitor necessary renewal process for all credentialing applications. Meets regularly with OFAA Leadership regarding APP on-boarding.
• Independently analyzes and reviews MCOM department submissions for all APPs: (i) Non-Ranked Recruitment Packets, with special attention on position descriptions and search plans to ensure the hiring units follow position requirements; and (ii) APP Appointment Packets, to ensure hiring units follow appointment requirements.  Independently prepares and distributes for signature appropriate Letters of Offer for all APP appointments. Upon full execution of Letters of Offer, responsible for processing criminal history and background checks for all APPs.  Upon successful completion of background check and clinical contingencies, reviews RightStart Paperwork with new hire to finalize e-verify process.  Upon e-verify confirmation, completes necessary GEMS procedures to generate employee U# and finalize on-boarding process.
• Perform full-cycle recruitment of APP faculty positions for MCOM through creative and cost-effective sourcing methods to fill APP positions. Proactively partner with hiring managers to identify current and future hiring needs of APPs. Develop and maintain internal and external networks to ensure a strong pipeline of diverse APP candidates.  Use innovative sourcing and marketing/branding techniques to engage both active and passive candidates through the use of tools including but not limited to LinkedIn, Twitters, Facebook, and Glassdoor.  Track, monitor, and report ongoing recruitment activities through the disciplined use of the Applicant Tracking System to ensure data integrity for metrics/reporting.
• Independently reviews, approves, and processed all Personnel Actions for MCOM APPs as assigned. Guide and monitor APP Instructor promotion process.
• Data entry into the USF GEMS PeopleSoft system for faculty positioned appointment processes.  This position works within GEMS, AppXtender, CAREERS and Microsoft Teams to complete all actions.
• Performs other duties as assigned.
POSITION QUALIFICATIONS :
MINIMUM :
• This position requires a Bachelor's degree and two years of HR related experience; or Master's degree in an area of specialization appropriate for the program.
PREFERRED :
• Bachelor's Degree and two years of HR related experience
• Experience working in an Applicant Tracking System, preferable PeopleSoft
• Experience using recruiting capabilities of LinkedIn and other recruiting tools
• Experience using GEMS PeopleSoft
• Experience with Project Management Techniques
• Strong ability with Microsoft Teams and MS Office Suite, including Word, Excel, PowerPoint, and Outlook.
