ORGANIZATIONAL SUMMARY: The Office of the Registrar leads a hub of critical services for students, faculty and staff, including student and academic record keeping, a conflict free academic schedule, registration, graduation, data reporting and state and federal compliance to support the University's educational programs.
POSITION SUMMARY: This position is critical for continuous process improvement in the efficiency and effectiveness of the transfer articulation process by evaluating and updating transcripts received from other postsecondary institutions.This position serves as a key resources in supporting School of Record institutions by updating attendance dates and inputting of transcript data of new and continuing School of Record students. In addition, this position assists in submission of the Hours to Degree file by correcting data irregularities in the student information system at the direction of the Hours to Degree Data Stewards.
RESPONSIBILITIES: Evaluates and updates transfer credits to appropriate USF equivalencies. Process transfer of academic credit in accordance with established transfer evaluation rules and procedures. Consults with Lead Enrollment Management Specialist about transfer articulation tasks and priorities. Inspects all generally accepted credit that require review for specific USF course equivalencies. Refers to USF and Transfer Institution Catalogs, College Source Transfer Evaluation System (TES), the Statewide Course Numbering System, course syllabi and other resources in analyzing information and resolving problems. Collaborates with USF academic departments concerning potential USF courses that may be equivalent to or substitute for specific transfer courses. Answer phones.
Assist in submission of the Hours to Degree file by documenting functional and technical request enhancements in preparation of the Hours to Degree file to ensure accuracy and timely submission of file to Board of Governors and for continuous quality improvement of future submissions. Assist in correcting data irregularities in the student information system at the direction of the Hours to Degree Data Stewards.
Assists USF World in serving as School of Record for select transfer institutions. Responsible for updating transfer School of Record attendance dates and inputting of transcript data of new and continuing School of Record students. Provides assistance with inputting of transcript equivalency comments for School of Record coursework. Proofs and validates transcript data entered into the system. Updates and maintains accuracy of course equivalencies in all School of Record transfer catalogs.
Responsible for special ad hoc projects related to transfer credit evaluation and transfer admissions processes and procedures for higher education institutions within the State of Florida and across the United States. In addition, assists in researching and compiling data used for Hours to Degree and degree certification projects. Ensures accuracy and updates course equivalencies which have been identified as academic transfer and completed at non-regionally accredited institutions participating in the Statewide Course Numbering System.
Responsible for ensuring confidentiality of student data. Performs all work with confidential and sensitive student information under observance of the Family Educational Rights and Privacy Act (FERPA), and other federal and State guidelines. Informs the individuals working with confidential student information about legal restrictions, privileges, and ethical considerations surrounding its use
Supports the mission of Student Success, Enrollment Planning and Management, and the URO with other duties as assigned, including serving as an outstanding team member by assisting colleagues in high volume periods. Updates professional knowledge by attending professional meetings, local and state conferences, and training sessions at the request of the University Registrar, and actively contributes to the ongoing editing of our office procedures through our Wiki. Regularly updates the Lead Enrollment Management Specialist on status of projects, highlighting important issues and areas concern. Serves on institutional committees at the discretion of supervisors and the University Registrar
POSITION QUALIFICATIONS:
MINIMUM: This position requires a high school diploma or equivalent, with one year of experience in office, administrative, or academic/student services support positions.  Appropriatecollege coursework or vocational/technical training may substitute at an equivalent rate for the required experience.
PREFERRED: Three-five years directly related experience- knowledge of USF policies and procedures. Knowledge of USF enterprise student information systems/Banner. Basic abilities in MS Word and Excel.
