ORGANIZATIONAL SUMMARY:
The University Controller's Office is led by the Associate Vice President/Controller and has approximately 150 employees. The UCO consists of Accounting and Reporting Services General Accounting, Financial Systems, Reporting, Research Cash Management, Asset Management, and Construction Accounting); Payment Services (Accounts Payable, Travel); Purchasing Services (Purchasing, PCard, and Central Receiving); Student Financial Services (Cashier's Office, Student Accounting & Customer Service, and Accounts Receivable); Payroll and Tax Services and the Office of Supplier Diversity. The UCO's mission is to safeguard institutional resources and provide accounting and operational support to the USF System while ensuring compliance with all Federal, State and regulatory financial guidelines.
POSITION SUMMARY:
Maintains the accounting record maintenance function of the FAST Asset Management Module for all university fixed equipment, buildings, building alterations, other fixed assets, land and land improvement purchases. Prepares year-end schedules and reconciliations to be recorded in the financial statements and presented to the State auditors for review. Oversees the EFT account which includes maintaining a list of the transactions, notifying the departments when the money is received and recording the EFTs in the general ledger.  Prepares unclaimed property filings for states other than Florida and reconciles the unclaimed property liability account.
RESPONSIBILITIES:
Reconciles and balances all university Asset Accounts for capitalized Assets, buildings, building alterations, other fixed assets, land and land improvement transactions from Purchasing and Accounts Payable Module, as well as assets transferred in from DSOs. Accounting Disbursements reconciliation is prepared on a spreadsheet, coordinated with the capital outlay expenditures, and recorded in University annual financial statements.
Assists in the recording of Asset Accounts for capitalized and non-capitalized accounting entries for machinery, equipment, furniture, artwork, software, books, land improvements, building improvements and other assets. Recommends adjustments as needed upon review of accounting records.
Verifies and Investigates all EFT's and wires coming into the EFT Account. Communicate with employees, vendors, customers and Bank employees in order to solve unknown wires. Assists departments on campus with EFT Information Forms. Sets up new EFT vendors/customers both domestic and international.
Prepares Journal Entries for posting. Record (Post) all Journal Entries to PeopleSoft (FAST). Analyzes and Investigates any items rejected for errors. Communicates to the originating department, if additional information/adjustments are needed.
Files the unclaimed property returns for states other than Florida when they are due and reconciles the accounts and funds used for unclaimed property filings. Performs other duties as assigned.
POSITION QUALIFICATIONS:
MINIMUM:
This position requires a Bachelor's degree in Accounting and one year of related experience, or a Master's degree in Accounting or Business Administration (with appropriate Accounting preparation and coursework.) The bachelor's degree is a minimum educational requirement for this position, and cannot be waived.
