Full Job Description Job Summary
The Event Operations Specialist role is responsible for actions related to management of incoming global event/meeting requests, planning and processing of technology requests for local onsite corporate business and client meetings, global technician scheduling and technical support during live meetings. Additionally, this position aids with local high-profile meeting review and implementation of departmental processes and procedures.
Essential Duties and Responsibilities
Administrative & Scheduling - 50%
• Triage and delegation of incoming global event request forms based on requestor location and technology needs
• Assist requestor with meeting technology planning and set-up including scheduling of WebEx meetings, requesting Webcast or audio teleconferencing technology, determining Q&A technology options, setting up WebEx meetings and presentations on dedicated event computers
• Contributes to weekly event review calls to determine needs and resources for each meeting and brief sites on upcoming meeting needs.
• Management of outlook calendars for assigned meeting spaces to ensure successful planning and completion of all meetings.
• Monitors communications lines during meetings to ensure and notify techs of meetings changes or issues.
• Collects data at the end of each meeting and closes out the meeting form to determine successes and failures to make recommendations for future meeting processes.
• Responsible for maintaining and completing meeting forms for each assigned meeting in the database to determine what technical and personnel are required.
• Enters requests for personnel and technical services based on meeting related requirements.
• Processing technician support requests through calendaring details on AV Team calendar
• Responsible for knowledge of and adherence to all internal client policies and procedures
• Conduct consultation and planning meetings with client event organizers to ensure the correct technology is being used, leading to successful meetings / events.
• Document technical requirements and services to be provided for “Special” and Executive level events and communicate the services and requirements to AVI-SPL and Client Management.
• Provide support for local and remote AV Technician - Onsite Meeting Tech and Admins as needed during meetings and absences
Technical – 50%
• Run the technical aspects of live corporate meetings ensuring successful completion of assignments
• Set up, testing, event execution, and tear down of audio visual (AV) and videoconference equipment if required for meetings. Ensure any equipment is stored appropriately.
• Maintain control booth areas to ensure they are clean, safe and organized.
• Coordinate recordings and content delivery methods during event for distribution via various delivery mediums including but not limited to. Modulated Television Networks, IPTV, Webcast, Web Conferencing, Recordings to Tape or Digital Media.
• Plan pre-testing sessions, document results, ensure contingency plans are in place prior to event.
• Solid understanding of video routing and switching in a live environment.
• Setup, administration, and production of Client webcasts.
• Troubleshoot client webcast issues as they happen
• Provide support for local and remote AV Technician - Onsite Meeting Tech as needed during meetings and absences.
• Other duties as assigned.

Education and/or Experience
• Minimum High school diploma or equivalent
• 3-5 years A/V and video conferencing experience
• Strong working knowledge of H.323 videoconferencing standards and control systems
• Ability to troubleshooting of AV Conferencing systems
• Desired; advanced Working experience with major videoconferencing equipment such as:
• Codec’s from Polycom, and Cisco.
• H.323 Endpoints, Gateways, MCU’s, and Gatekeepers
• Extensive Experience in Audio Visual Solutions including Videoconferencing, Multimedia, Distance Learning, Facility coordination or Networking systems preferred.
• Certification desired
• Certified Technology Specialist (CTS) desired
• Bilingual - Spanish/English
