Full Job Description This position plays a key role in the process of analyzing the current and future design and integration of patient access systems and processes. Overall responsibility for system testing, documentation, development data collection and analysis, organization of upgrades, implementations and the maintenance of such access systems. Collaborates with vendors, Clinical Operations, Revenue Cycle Operations and Information Services, management teams along with physicians, administrators and support staff to develop application processes and design recommendations. Works closely with physicians, administrators and staff to evaluate current workflows and design the changes needed to increase the efficiency of patient access.
Position Requirements
Educational Requirements:
Bachelor’s degree in Business Management or related field
Experience Requirements:
Minimum 4 years of experience in medical operations related to access and/or clinical systems. Strong computer and/or system knowledge. Must obtain certification in Cadence and Prelude within 12 months of hire.
Business Skill Requirements: Excellent oral and written communication skills. Excellent analytical, logic and reasoning skills. Good organizational skills and customer service skills. Ability and willingness to adapt to changing priorities. Ability to manage multiple projects, prioritize and to analyze complex scheduling problems. Strong computer and/or system knowledge.
Preferred Attributes: Problem solving skills, knowledge of Microsoft Excel, excellent leadership skills to train, supervise and retain staff. Knowledge of Access systems and previous health care experience Prefer five year minimum combination of health care and Epic-Cadence experience. Epic experience preferred.

• Reviews each request for conformity with Access Standards, follow up with clinical department personnel (Administrators, provider, staff) for resolution
• Takes initiative to contact and meet with clinical department personnel to obtain missing information needed to process the ticket within an appropriate time frame
• Uses system knowledge and critical thinking skills in building new templates and modifying existing templates
• Understands implications of changes (visit types, durations, session limits, session time changes, etc.) and discusses any concerns with Manager as appropriate
• Documents template hold/unavailable reasons, notifies Access Center of bumped patients and reasons for cancels as well as makeup session time
• Reports any pattern or abuse of the Epic templates, Access Standards and/or change processes to Management, providing details of suspected abuse
• Records added/cancelled/modified sessions on the Outlook C Sched calendars for Morsani, STC
• Communicates new templates/changes to requestor, Department Administrator, Access Center, etc.
• Collaborates with Access Center team to resolve issues, improve workflows and patient access

• Understands functionality of assigned application(s), the workflows have been defined and the reasoning behind them
• Working knowledge of Cadence security as it pertains to template build and ability to troubleshoot scheduling issues
• Serves as a resource to department staff and to external departments with questions regarding functionality, options for template design
• Assist with traininn new employees in primary applications as needed

• Assists with template optimization, including basic review of templates, visit types, etc. to identy anything that appears to be setup incorrectly
• Audits template cancellations to ensure appropriate cancel reasons are used
• Submits master file changes (add department to provider, add visit types to department and/or provider, exclude visit types , add session etc.) via POC for data courier
• Revises template release dates as requested
• Makes system enhancement and/or process recommendations tailored to USF’s standard operating processes
