Full Job Description Program Coordinator (Sponsorship) - ( 2100013C )
Hillsborough County will require all applicants scheduled to attend an on-boarding session on or after August 30, 2021 to show proof of being fully vaccinated before their employment can begin. Fully vaccinated is two full weeks after final vaccination shot.
Job Overview
Performs independent oversight of various programs and administrative duties associated with coordinating those programs such as public and private company sponsorships, data analysis and collection from online feedback sources, large county-wide events, and permitting of community businesses desiring to sell on county property.
Minimum Qualifications
• Graduation from an accreditied four-year degree granting college or university; AND
• One year of experience in the preparation or monitoring of contracts, sponsorship oversight, or program management ;

• An equivalent combination of education, training and experience that would reasonably be expected to provide the job-related competencies noted below. (For education and experience only, does not include legally required Licenses or Certifications.)

Duties and Responsibilities

Depending on assigned area of responsibility, incumbents in the position may perform one or more of the activities described below.
• Prospects and meets with potential corporate partners; Researches contacts and solicits vie either email, phone, or letter to set meeting; conducts needs analysis during first meeting to find the partnership assets and inventory that make sense.
• Develops and writes proposals: Produces a proposal using knowledge from client meetings and understanding of Hillsborough County inventory to provide the most value at the least expense to the organization.
• Drafts sponsorship contracts and coordinates payment schedules. Fulfulls and activates current sponsor agreements: Assures that the deliverables promised are provided to the sponsor.
• Renews existing business: Renews and upsells new inventory to existing sponsors to maximize the long-term value of each partnership; this is through exeptional client service, quality inventory offering, and trustworthiness.
• Coordinates support services for events and programs including sending applications through the correct approval paths, setting up meetings as needed, assigning equipment, fee collection and ordering of supplies and marketing materials.
• Conducts outreach through community events, community-based agencies and organizations. This includes being the project manager for county wide or high-profile events put on by the Parks department.
• Communicates with other internal departments to develop sponsor inventory and assets: Gains knowledge from other divisions across the organization to create and pitch inventory that is relevant to sponsors. Monitors ongoing sponsorship campaign effectiveness, evaluates campaign results and modifies strategies.
• Performs administrative and program management functions: Completes billing requests, holds strategy sessions, updates meetings, and brainstorms new ideas.
• Manage the vendor application, permit, and payment process.
• Performs other related duties as required.

Physical Requirements
• Occasional travel in possible high heat, cold, or rainy conditions. Both indoor and outdoor with most of the time being in office environment.
• This job is performed in a professional office environment using standard office equipment such as computers, phones, photocopiers, and fax machines.
Work Category

Emergency Management Responsibilities
In the event of an emergency or disaster, an employee may be required to respond promptly to duties and responsibilities as assigned by the employee's department, the County's Office of Emergency Management, or County Administration. Such assignments may be for before, during or after the emergency/disaster.

• Maintain the ability to pass the background checks required for the position. These background checks may include but are not limited to:
• Criminal History Background Check using Florida Department of Law Enforcement (FDLE) Criminal Justice Information Services (SACWIS)
• Level 1 and Level 2 Background screening (Ch. 435 Florida Statutes)
• Child Abuse, Abandonment and Neglect Record Check using the State Automated Child Welfare Information System (SACWIS)
• Sex Offender and Sexual Predator record check using the list maintained by the Florida Department of Law Enforcement (FDLE)
• Possess the necessary job related licence(s) or certification(s) that may include possession of a Florida Driver's License (Class E) or an applicable Commercial Driver's License (CDL).
