Full Job Description The general duties as a Billing & Scheduling Specialist for the National Interpreting Services for U.S. Legal Support include serving as the biller and handling some scheduling responsibilities. This position will require knowledge of agreed rates between clients and USLS and between interpreters and USLS. They will need to be able to identify profit margins that don't meet the required amount and communicate that with the team so we can address. Bill all jobs timely and communicate with interpreters to collect invoices or discuss billing discrepancies. Handle any invoice questions or adjustments made by client or managers. Adhere to budget, implementing cost-saving measures by monitoring/negotiating translators rates. Handle schedule of some jobs, incoming calls and other day to day scheduling tasks. Assist team when needed with scheduling or calls.
Essential Job Functions: • Practice effective resources relationship techniques
• Provide cost/rates to clients when requested
• Practice effective customer relationship techniques and address customer service needs
• Follow up with clients who express concerns, complaints or issues with invoices or rates
• Evaluate potential profit loss or gains and communicate with team or management
• Hire new resources as needed to fulfill client and company needs
• Answers telephone and either responds to inquiry, directs caller to appropriate personnel, or schedule assignments and other related services
• Communicate with clients to make adjustments to invoices or rates when needed
• Communicate with interpreters on payment questions or issues
• Identify and define language requests when required
• Assist clients in language questions
• Coordinate, monitor and assign interpreting jobs
• Create and manage database of interpreter
• Calculate and enter Billing/invoices into the system
• Practice and Balance effective relationships techniques with sales rep
• Assist sales rep. accordingly
• Direct project correspondences by preparing and reviewing project proposals
• Multitask and remain organized during high volume work
Requirements: • High school diploma or equivalent required
• Be a courteous and energetic team member
• Must speak Spanish and have excellent written and verbal communication skills
• Administrative or customer service experience preferred
• Hold a commitment to excellent customer service
• Must be able to work well in a fast-paced, deadline-driven office environment with the ability to meet deadlines
• Kn owledge of MS Office and Data Entry (i.e. Word, Outlook, Access, Excel) required
• Ability to be highly effective working independently
• Have interpersonal skills capable of maintaining client’s retention
• Ability to coordinate with all members of the team, including members of other departments
• Must be able to manage multiple projects simultaneously and continuously reprioritize as necessary
• Hard working, well-organized and detail oriented
• Must be able to handle high volumes of email and phone traffic
• Use excellent analytical and problem-solving abilities
• Excellent organizational skills
