• Contract Administrator *
Landeavor, LLC, a rapidly growing, full-service real estate development company specializing in master-planned residential communities, is looking for a full-time Development Coordinator to support the efforts of our fast-paced, growing business in Florida.
Responsibilities for this position will include operational assistance in the challenging and dynamic business of developing large residential communities including land development, amenity development, home sales and marketing and homeowner association governance.
GENERAL SUMMARY :
Assists in daily operations of project management and field office by performing and/or organizing project, administrative and office functions. Acts as a liaison between field office personnel, corporate office personnel, builders, vendors, consultants, the HOA and the public in general.
ESSENTIAL JOB FUNCTIONS :
1. Maintain and process all project contracts, including verifying budget inclusion, termination clauses, insurance requirements and needed authorizations. Process change orders as need.
2. Assist in obtaining various bids for contracted services.
3. Process, code and track all invoices and payments for projects and field office. Coordinate project level pay runs with corporate office.
4. Verify with corporate office that accounts receivable payments have been obtained and recorded properly, including marketing fees, true-ups, amenity fee checks, builder deposits and takedown payments.
5. Process business expense reports and invoices.
6. Maintain record of active builders including contracts, contract amendments, insurance requirements, take down schedules, sales, traffic, settlement statements, lot counts, house pricing, products offerings and other information as requested.
7. Assist with sales coordination including: preparing, printing, copying and distributing all information to builders and commercial brokers, such as plats, surveys, land plans, term sheets, contracts, design guidelines and marketing information, coordinate architectural review for home designs, create home and lot sales reports, organize builder HUD statements, process lot closing documents, and organize commercial offers and Letters of Intent.
8. Assist with development process by coordinating contracts, payments, reports and other necessary documents between local staff, engineers, lawyers, government offices and corporate headquarters.
9. Perform duties required to assist with the HOA when necessary including attending meetings, following up on resident or management requests, reviewing reports and financials, processing legal documents, easements, contracts and reimbursements and assisting with any related websites or newsletters.
10. Maintain and manage field office related accounts and files, including vendor contracts, leases and insurance policies.
11. Performs routine clerical tasks such as filing, typing correspondence, schedules, reports, answering phones and data entry.
12. Process in-coming and out-going mail and correspondence.
13. Maintain and improve electronic filing systems for the projects, file and retrieve documents promptly and anticipate informational needs of the staff in order to provide background information and verify information.
14. Schedule meetings and provide calendar management when necessary.
15. Undertake special projects and research related to projects or for acquisition or due diligence needs.
16. Assist staff and other consultants by disseminating pertinent information, providing training, making suggestions, and answering questions to resolve issues.
17. Perform and assist with other duties as requested.
KNOWLEDGE, SKILLS AND ABILITIES :
1. Demonstrated experience in contract management, budgets and accounts payable and receivable processes.
2. Strong organizational skills, including the ability to set priorities, think analytically, work under tight deadlines, juggle multiple tasks simultaneously, track details and identify, research and resolve problems and discrepancies.
3. Superior verbal and written communication skills (including proofreading and editing) and the ability to express oneself clearly and concisely; Willingness to communicate emerging issues to management.
4. Ability to understand and work through tracking systems and processes.
5. Keen attention to detail. Monitors and double checks work and information for accuracy and quality. Ability to pay close attention to detail without losing site of the bigger picture.
6. Knowledge of and demonstrated proficiency in the use of Microsoft Office suite (Word, Excel, and Outlook) required. Ability to quickly learn software specific to Landeavor (e.g., Access, Adobe Acrobat and Paint).
7. Strong initiative. Ability to anticipate needs and be proactive. Self-disciplined to meet deadlines and strong work ethic.
8. Skill in operating various office equipment such as copier, document shredder, and facsimile.
9. Must understand importance of maintaining confidentiality.
10. Ability to process assigned duties and work independently in an efficient and organized manner.
11. Ability to maintain patience and composure in difficult situations.
12. Willingness to work extra hours and put forth extra effort when needed.
13. Ability to resolve conflict by working with others to accept a course of action and by approaching conflict from a positive viewpoint rather than a negative one.
EDUCATION AND EXPERIENCE :
High school diploma or equivalent. At least four years of project, contract management and development coordination experience. Experience in Outlook, Word and Excel is required.
Travel - Occasional day travel or overnight trips may be required.
