Job Description:
Job Summary:
The Fast Service Specialist will provide backup coverage to BPS sites.They will be cross training in multiple service areas at multiple site locations and will fill roles in reception, hospitality, records, or other positions as applicable. This position is a promotion opportunity for those wishing to move into management.
Responsibilities:
• Traveltoandbecomecross-trainedwithinlocalEPIQsitelocations
• ShowmeasuredcompletionofEpiq Learningclasses
• Beflexibletodailychangingroles,responsibilities,and worklocations
• Monitorandlistentoclientstounderstandinquiriesandrequestsinordertoprovideaccurateinformationaboutthefacilitiesand servicesandpromptassistance
• Exhibitability totakeverbalinstructionswhiletaking notestoproperlyproducestaffcopyprojects.
• Havedirectinvolvementindirectclient communications
• ComplywithEPIQpolicythatanyinformationseenduringthecopyprocessisstrictlyconfidentialandisnevertoleavethecopycenterand nevertobetalkedabouttoanyone
• Mayberequiredtoworkadditionalhoursbeyondregularscheduletomeetclientneedsand/orcommitments,whichmayincludeweekends,eveningsand/orholidays
Mail/Distribution Services :
• Sort,distributeandmeterUSmailwithknowledgeofcurrent postalrates
• EnsureallprojectshavebeenproperlyproducedandQualityChecked(QCd)toEPIQsstandard
• Ensureclientsrequestandthedeliveryoffaxes/parcelsin atimelymatterinaccordancetoEPIQsstandards
CopyServices:
• ImmediateattentiongiventoclientsenteringCopy/MailCenterinaccordancewithEPIQsstandardofoperation
• Accuratelyproducecopy,printand scan projectsinaccordancetoverbaland written instructions
• Exhibitability totakeverbalinstructionswhiletaking notestoproperlyproducestaffcopyprojects
HospitalityServices
• Provideexcellentclientserviceasthecoordinatoroftheclientsconferencerooms,commonareasandkitchens
• Ensureclientsrequestsfortheset-upanduseofmeeting roomsarehandedaccuratelyandproactively
• Placeordersforfoodandbeveragesforuseduring meetingsasassigned
• Inspectandensurethatallroomsareclean,stockedwith suppliesand readyforcontinualuse
• Organizeand distributeclientkitchensupplies
• Maintain inventorycontrolandordersuppliesasneeded
• Performcleaning,dusting andotherincidental tasksasassigned
RecordsManagement:
• Retrieve,compile,anddistributerequested recordsand information
• Responsiblefordocumentcontrolandrecordsmanagementthroughouttheinformationlifecyclefor physicalandelectronicrecords
• Re-filerecords,filesandrecord storagecontainers
• Maintain accuraterecordscirculation database
• Receiveand processrecordsinaccordancewithestablishedprocedures
• Complywith allbusinessprotocol,regulatoryandbestrecordsmanagementpracticesandrequirements
FloorCoordination:
• Provideexcellentclientserviceasthefirstlineofcontactwiththeclient
• Responsiblefortheorganizationandupkeepofvarioussatellitecopyroomsthroughoutanassigned workarea.Thisincludesthestockingofgeneralsupplies,deliveryofpaper,andbasicdaily maintenanceofthecopier(s)inthatarea
• Responsibleforthepick-upanddeliveryofallmail/parcelsaswellasallcopy,printandscanprojectsthatareaassignedtotheCopyCenter
Reception:
• Workcloselywiththeclient'sstafftoensureseamlessday-to-dayoperationsasthefirstlineofcontactwiththeclient'svisitors
• Answerincoming telephonecallsanddirectcalltraffictotheproperperson
• Takeaccurateand completemessagesforthoseemployeeswhomaybeunavailable
• Greetandannouncevisitorsin afriendlyandbusiness-likemanner
• Maintain neatnessandorganizationofreception deskandfrontclosetareas
• withvariousadministrativedutiesasoutlinedbytheSiteManager
Qualifications:
High SchoolDiplomaorequivalent
Minimumof1yearexperienceinacopy/mail servicecenterenvironmentorotherserviceindustry
Previousexperiencein aclient serviceorientedfield
Knowledgeofcopymachinesand utilizationoftypicalofficeservicesequipment and technology
