POSITION SUMMARY:
The Unit Human Resource Coordinator assists with all appointment paperwork for the Muma College of Business (MCOB). The position coordinates recruitments, assists with visa requests, assists with college on-boarding and evaluations.   This position ensures fiscal compliance with all payroll and personnel actions and requires knowledge of USF policies and procedures and the ability to run GEMS queries and reports as needed.
RESPONSIBILITIES:
Appointment Process:   Coordinate appointments with departments, and communicate updates while serving as backup to the Unit HR Administrator with appointment approvals.  Prepares offer letters, Appointment Status Forms, Special Pay Increase documents, Courtesy Faculty appointments, and assists with updates to position descriptions. Data entry into the USF GEMS PeopleSoft systems, and update internal data base systems.  Compile information for reports and/or projects.
Recruiting Process:   Assist hiring department with recruitment for new or vacant positions.  Coordinate job descriptions, and job posting.  Assist search committee, and department personnel with policy and document requirements.   Guide selected candidate through hiring acceptance process and on-boarding with USF.  Assist with all actions and processes related to faculty and staff appointments.   Assist with the visa application process for foreign national hires.
Payroll:  Audit department time sheet submissions. Work with departments to ensure accuracy and compliance.  Serve as departmental backup for payroll certification. Verification of payroll distribution and job data entry.
Evaluations:  Assists with the coordination of annual and special evaluations; ensures that evaluations have consistent information and documentation, are timely and annual evaluations are completed and submitted to HR by due date.
Respond to customer questions regarding various procedures for new and continuing employment actions. Oversees, acts on request received in the college human resource email account.  Assist Unit HR Administrator with documenting college human resource processes and make recommendations for improved workflow and efficiencies.
Performs other duties as assigned.
POSITION QUALIFICATIONS:
MINIMUM:
This position requires a Bachelor's degree in appropriate field and one year of human resources experience.  Four years of related human resource experience in office or administrative positions can substitute for the degree.
PREFERRED:
At least two years of Human Resources experience in an academic setting.  Experience working with USF systems, e.g. GEMS, Banner, Career Portal, Handshake, Payroll certification, payroll distributions.  Experience using MS Office (including Word, Excel and PowerPoint), email, Internet.
SPECIAL SKILLS/TRAINING:
CERTS  - Entering, reviewing and certification of time in payroll system .
GEMS/PeopleSoft - Employee Management: Appointments, Payroll Distribution, Queries and Reports
Handshake and Careers - Recruitment systems.  MS Outlook  - E-mail
