JOB SUMMARY
We are currently searching for an Office Administrator to work onsite at our Tampa Headquarters. Successful candidates will provide excellent customer service and must be results-driven. The ability to work in a fast-paced environment with strong attention to detail is essential. You will be fully engaged and busy from the first day and we guarantee there will never be a dull moment. You will be providing administrative support to the CEO and his Executive Support Staff for MGT Consulting Group and Strategos Group.
This is an in office position, remote performance is not available.
MAJOR AREAS OF RESPONSIBILITY
• Greets and receives visitors to the Corporate Office in a professional and courteous manner; answers telephone, takes messages and provides information to routine inquiries.
• Runs postage for U.S. Mail; accepts and sends courier packages, retrieves, opens and routes incoming mail; distributes correspondence and other material to appropriate people.
• Performs a variety of routine typing assignments as appropriate; may draft basic correspondence, enter data, and print letters, labels, reports, and/or other materials; creates and mails form letters.
• Manages Accounts Payable and Accounts Receivable orders as needed
• Ability to perform situational tasks on a needed basis
• Agile individual that is comfortable working independently and coming up with solutions as needed
• Supervises all Office Procedures
• Completes supply order request forms, maintains inventory, stocks, and/or distributes office supplies.
• Maintains the proper appearance within the facilities, such as conference rooms and other shared spaces.
• Uses spreadsheet software to assist with departmental budget reports.
• Assists with preparing, proofing, modifying, and distributing documents, including agendas, letters, reports, presentations, and spreadsheets.
• Assists with travel arrangements, as needed.
• Maintains equipment by completing basic preventive maintenance; troubleshooting failures; calling for repairs; monitoring equipment operation; monitoring and purchasing meter fund.
• Enhances organization reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments; performs related duties as assigned.
MINIMUM QUALIFICATIONS
• 2+ years of experience working with Senior/Executive Leadership as an assistant or administrator
• Experience in Accounts Payable and Accounts Receivable
• Must have a High School Diploma
• Uphold a strict level of confidentiality
• At least 3 years of high-level proficiency with MS Office Suite.
• Ability to manage multiple priorities in a deadline driven/fast paced environment
• Proficient in new and upcoming technology
• 1-2 years of experience working with upper management
• Held a similar position in a professional office setting for at least 1-2 years in a professional environment.
• Must have transportation and the ability to run errands for the office as needed.
