Position Description
PRIMARY PURPOSE: Provide general administrative support to the Products Pipelines Florida Operations group, including but not limited to typing, filing, mail, copying, office supplies, and phone coverage. Also will provide administrative and staff support to the general organizational operations. Working under the direct supervision of the Manager-OPS this position provides all necessary organizational support and is responsible for a variety of other tasks. ESSENTIAL DUTIES & RESPONSIBILITIES: - Work closely with Superintendents/Supervosors to process documents for employees. Track and record USPS delivery for all packets sent. Accounts Payable entry. GENERAL OFFICE TASKS • Daily mail sorting and processing via USPS, inter-office and Federal Express; open all departmental mail and deliver to appropriate parties • File various documents • Maintain and update manuals, spreadsheets and databases, as necessary • Order and maintain office supplies and stationery for departments • Deal with a wide variety of people with tact, courtesy and professionalism • Speak clearly, both in person and by telephone, using a high level of verbal skills • Write effectively, and understand verbal and written communications, including but not limited to email • Work independently to manage tasks and timelines • Maintain a regular, dependable attendance and high level of performance • Maintain a high regard for personal safety, for the safety of company assets and employees, and the general public • Other daily, weekly, and monthly duties, and special projects, as assigned • May be required to work non-traditional hours as needed • Coordinate expense forecast and budget data • Perform Ad Hoc analysis and reporting •Comply with all KMT policies and procedures.
Position Requirements
EDUCATION: • High School Diploma or equivalent with 3-5 years related experience • ESSENTIAL DUTIES AND RESPONSIBILITIES:• Good organizational, communication (verbal and writeen) and PC skills. • Individual must be proficient with Microsoft Office, Excel spreadsheets, Microsoft Word, Microsoft PowerPoint and experienced with charts and graphs. • Ability to organize and prioritize daily work, including tracking and managing large projects, and see projects to completion while maintaining strict confidentiality (as necessary) • Knowledge of accounting/budgeting. Ability to meet deadlines. • Accurate with financial information. •Treat people with respect  • Must be able to work with a team, take direction from supervisors, keep required work schedules and follow work rules. • Must possess customer service skills; being cordial while interacting with customers. •  Ability to efficiently present information in a one on one setting and in small groups situations to customer, clients and other employees. • Must possess general understanding of how corporate policies, procedures, practices and processes relate to the business segment, associated business units, and internal and external customers • PHYSICAL DEMANDS: •The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
