Position Summary
The role of the Executive Assistant is to provide executive level administrative support to the President/CEO and ensure the successful operation of the President’s office by keeping the office running smoothly and efficiently.
Essential Job Duties
• Provide excellent customer service to all AMIkids customers and stakeholders while maintaining appropriate level of confidentiality,
• Schedule appointments, maintain calendars, prepare internal/external correspondence, telephone and visitor screening, travel arrangements, expense reimbursements, coordination or meetings and receptions, preparation of presentation materials, and maintenance /filing of documents,
• Develop strong working relationships with members of the AMIkids Board of Trustees, executive committee, managers, executive directors, staff, state agencies personnel, school district leadership personnel and juvenile justice leadership personnel,
• Gather, compile, verify and analyze information for use in various reports, spreadsheets, presentations and correspondence,
• Compose and proofread correspondence and produce high quality materials such as presentations, spreadsheets and correspondence,
• Prepare and distribute accurate minutes of the executive committee, AMIkids annual board meetings, AMIkids foundation meetings, as well as oversee completion of minutes of all other committee meetings produced in other departments,
• Coordinate and communicate meetings, hotel and travel accommodations, notices, etc. to AMIkids Board of Trustee members and stake holders as necessary,
• Maintain and updates listing of all AMIkids Board of Trustee standing committee members,
• Ability to travel and work on some weekends.
• Assist with special projects and other duties as assigned.
Minimum Education, Training and Experience
• Associates degree in business or secretarial science; bachelor’s degree preferred,
• Five (5) years solid executive level administrative work history,
• Possess exceptional organizational skills and have a keen attention to detail,
• Ability to operate in a fast-paced work environment which requires substantial multitasking,
• Extremely proficient in Microsoft Office application (Word, Excel, PowerPoint and Outlook),
• Ability to research issue and gather relevant information,
• Ability to plan and organize work to ensure deadlines are met,
• Requires the ability to maintain absolute discretion and confidentiality expected of a professional at this level,
