Description: Fleet Administrator/Procurement Specialist This position is a multi-faceted role within Supply Chain Services that performs fleet administration and general procurement in support of Southern Star’s operations.  The Fleet Administrator is responsible for the day-to-day activities associated with the Company’s fleet of vehicles and heavy work equipment including annual budgeting and forecasting efforts.  Daily communication with Southern Star office and field personnel and external suppliers to identify Fleet and general procurement needs and ensure customer satisfaction is required.  Employee will utilize financial system, asset management system and other company software and maintain electronic and paper files and records as required. Responsibilities Primary responsibilities include (but not limited to):   Fleet Administration This role shall develop a complete understanding of the Fleet Management & Administration process with a desired outcome toward independently supporting internal business units. The goal of Fleet Management is to minimize the cost of fleet operation while ensuring the fleet continually meets operational needs.  This role will further bring experience toward finding opportunities and implementing process improvements to reduce total cost of ownership and improve fleet utilization.   Administer day to day fleet vehicle activities including, but not limited to; vehicle and equipment replacement (purchase and disposal), manage annual capital budgeting and monthly forecasting requirements, coordinate with stakeholders to develop and maintain unit specifications, coordinate aftermarket equipment upfitting and company branding, maintain unit and driver tracking in the Company’s asset management system (EAM), negotiate manufacturer’s pricing programs, support timely unit repairs, provide overall asset management functions, prepare annual renewals (IRP, Unified Carrier, MSC-150 Safety, IFTA Registration, Hazmat), manage vehicle title records, coordinate with insurance carrier, and other duties as required in support of fleet management and administration Administer and analyze fleet data from all relevant sources and prepare related reports and analysis used for decision making, management reporting and vehicle acquisition and disposal decisions Coordinate activities with other Fleet/Equipment stakeholders to ensure proper Company notifications are achieved Purchasing   Purchase materials and services to meet the Company’s construction and operational requirements using competitive bidding and/or direct negotiation and value analysis to obtain the greatest benefit from Company expenditures Coordinate the transportation and delivery of materials and services to Company work sites to ensure the utilization of Company stock and on-time delivery necessary for effective and efficient operations Communicate to all customer departments product information, pricing and other pertinent information gained from vendors or other sources to ensure the selection of materials and services best suited to the Company’s needs   Expediting   Maintain accurate expediting reports to track the status of vehicles, equipment, materials, supplies, and services ordered by the Company Monitor and ensure supplier delivery commitments are fulfilled as promised and that materials are delivered to the job site as required   General   Maintain daily communication with office and field personnel and external suppliers to identify needs and ensure customer satisfaction Utilize financial and project tracking systems and maintain electronic and paper files and records per the Company’s Business Records Retention and Destruction Policy Ensure the adherence to Company and departmental policies and procedures and ensure overall efficient and timely flow of service     Other requirements:   Travel less than 25% average, automobile, and plane Valid driver’s license and insurability Reliable attendance, scheduling flexibility when job demands require Ability to work positively and effectively prioritize in a high stress, demanding environment Qualifications Minimum   Bachelor’s Degree or 3 years relevant work experience as determined by the Company and hiring manager 3 to 6 years of relevant work experience Strong customer service and communications skills with the ability to multitask and meet timely deadlines Detail oriented, adaptable to change, team-oriented capable of working with internal and external business partners Strong verbal, written and analytical skills Skillful negotiator capable of making quality decisions without breaking trust Able to manage conflict internally and externally Familiar with Microsoft Office products, the world-wide web and adept at learning new computer applications   Preferred   3+ years of experience managing corporate vehicle/equipment fleets or similar fleet experience Fleet Management Certification or Training Bachelor’s Degree in Supply Chain, Accounting, or relevant Fleet Management area of focus Knowledge of oil and gas industry Employment Type: Full-time
